The Personnel Associate is responsible for managing the day-to-day recruitment and personnel transactions in the Human Resources office in support of the campus community. This position will perform a wide range of generalist duties to include but not be limited to recruitment, facilitation of new hire orientation, and managing the Affirmative Action plan and inclusive hiring practices alongside the AA officer.

  • Responsible for managing full cycle recruiting practices in compliance with the Affirmative Action plan and required recruiting reporting. Managing recruitment requests through to offer letter and new hire orientation. Responsible to facilitate/coordinate all new employee orientations and kick-off meetings with search committees. Managing the search committee process, and expectations.

  • Manage all seasonal staffing to include hiring of Graduate Assistants, Work Study, Student Assistants and temporary professionals. Ensure all employees are on-boarded and trained in compliance with State laws, SUNY/local campus policies and collective bargaining agreements. Initiating and maintaining compliance with Extra Service and Also Receives.

  • Responsible for all aspects of civil service hiring in the recruitment process to include but not limited to civil service lists, canvassing, hiring and any other personnel transactions pertaining to employees ensuring compliance.

  • Responsible for coordination of the VISA/Immigration process for all employees to include but not be limited to H-1B applications, permanent resident support, and all matters pertaining to the work authorization of employees.

  • Responsible for recruitment and outreach efforts within the community by attending job fairs virtually and in person and maintaining the comprehensive recruiting campaign. Management of multiple electronic job board(s), social media promotions, new hire announcements.

  • Regularly update relevant reporting to support HR leadership. Assist with the execution and review of background checks. Assist with DocuSign processing and respond to applicant inquiries. Assist with extending offers of employment.

  • Additional duties as assigned.

Salary: $55,000 - $60,000

Job Requirements:

Minimum Requirements:

  • Bachelor's degree in human resources management or a related field from a college or University accredited by the US Department of Education or internationally recognized accrediting organization.

  • AND a minimum of two to three years of professionally responsible experience.

  • Demonstrated proficiency using Microsoft Office.

  • Excellent oral and written communication skills.

  • Proven experience as an HR Recruiter or similar role in human resources.

  • Familiarity with the entire recruitment lifecycle and variety of hiring processes.

  • Proficiency in using applicant tracking systems (ATS), recruiting software and candidate databases.

  • Strong ability to lead onboarding processes for new hires.

  • Proficiency in using HR databases and HRIS systems.

  • Expertise in creating and posting job ads in various portals.

Preferred Qualifications:

Experience working in a unionized environment with knowledge of NYS Collective Bargaining Agreements.
