Toward that end, Student Affairs invites applications for an Administrative Assistant/Office Manager position in the Paul Robeson Cultural Center (PRCC).

The Paul Robeson Cultural Center (PRCC) (https://studentaffairs.psu.edu/cultural) provides programs and support services to encourage and cultivate the appreciation and celebration of the diverse perspectives, experiences, and cultures of many under-represented communities at Penn State. Specifically, the PRCC seeks to serve students in the development of character, conscience, and social responsibility through fostering identity development, social justice, and inclusion.

The Administrative Assistant serves as the Office Manager within the PRCC and is responsible for the planning, organizing, coordinating, and oversight of daily office operations within the Center. This position holds a significant role in contributing to the overall student experience for those working and visiting the Center.

The Administrative Assistant/Office Manager will support the following functions:

Administrative Oversight:

  • Compose letters, memos, and reports related to work in the PRCC as needed

  • Research and compile background materials for meetings, develop agendas and schedules

  • Establish work unit procedures for handling and maintaining confidential materials

  • Oversee work unit files, records, databases, and reports while ensuring University records and retention guidelines are met

  • Analyze administrative operating practices to create new systems or revise established procedures as needed

  • Develop new processes or procedures relevant to support the needs of the Center

  • Maintain the Directors calendar and assist with appointments

  • Schedule staff travel, conference attendance, and fleet car reservations as needed

Supervision and Student Support:

  • Coordinate work assignments, training, and supervision of PRCC work-study employees

  • Approve and process various forms for payroll/human resources

Budgetary Oversight:

  • Generate, prepare, and maintain financial reports and spreadsheets, and authorize processing of payments while maintaining accountability for budget expenditures.

Other Center Support:

  • Serve on various university and student affairs committees as appointed by the Director of the PRCC

  • Other duties as assigned by the Director, Assistant Director, or other PRCC professional staff

Excellent communication skills, a desire to work in a Center that promotes diversity, equity, and inclusion, and a demonstrated commitment to supporting students of color and other marginalized student populations in higher education are a must. Working knowledge of SIMBA, SAP Concur, and/or other financial systems is a plus, but not required.

This position requires a minimum of a High School Diploma/GED or Vocational Training/Degree diploma and two years of related experience or an equivalent combination of education and experience.

The pay range for this position, including all possible grades is:

$38,300.00 - $55,500.00
