Office Coordinator - In Motion PT - Harbour View

  • Works directly with the Clinical Lead, Rehab Operations Supervisor/Site Coordinator and/or Rehab Manager to supervise all front office procedures and operations are performed accurately, timely and in a professional and ethical manner. Must provide the highest level of customer service and professionalism to patients and co-workers. Proficient in all patient access responsibilities, current software and maintains daily, weekly, monthly tasks and reports. Professionally works closely with all members of the team to achieve established department objectives. Helps to establish a work environment that allows for the recruitment and retention of clinical and administrative staff; implement strategies to exceed world class status with employee engagement.

Essential Job Functions

  • Ensure high team member morale and a professional, effective, and well-organized working environment

  • Work closely with all members of the rehab team to achieve financial and program objectives. Prepare daily and monthly reports for supervisory team.

  • Serve as a clinic subject matter expert for EMR system and front office workflows to provide guidance and training. Continuously monitor workflows and escalates process improvement opportunities to either the Site Coordinator or designee. Implement processes to improve patient experience and promote departmental efficiency and compliance

  • Manage front-end billing functions (cash controls, deposits, charge reconciliation, and co-pay collection) and ensure established benchmarks are met and maintained.

  • Effectively serve as a fill-in for PSR(s) when absences occur or patient volumes warrant additional support

  • Manage registration work ques to ensure patients are scheduled and billed efficiently. Register all accounts, verify insurance benefits/eligibility, document benefits and create estimates for patients, as needed. Review benefit information with patients prior to scheduling follow-up visits.

  • Manage and work internal/external referrals in a timely manner, via referral WQ, fax and phone. Ensure that all front office support staff are trained to work and maintain referrals, daily.

  • Manage patient complaints and collect detailed information to assist with resolution. Work in conjunction with billing specialists for any extensive patient inquiries.

  • Supervise clinician schedules to maximize efficiency and minimize downtime

  • Manage clinic supply orders, and promote stewardship of resources within department

Employment Qualifications

Required Minimum Education:

  • High School Diploma or GED

Minimum Years and Type of Experience:

  • 2-3 year of medical office experience preferred but not required. Must be knowledgeable of insurance terminology, verification and authorization requirements, administrative practices, procedures and guidelines.

Other Knowledge, Skills and Abilities Preferred:

  • Must possess organizational, verbal communication and strong interpersonal skills. Demonstrates a high level of integrity, trust and displays exceptional customer service. Ability to multitask and prioritize in a fast-paced environment. Strong attention to detail and ability to use sound judgment in decision making. Experience with data entry and knowledge of medical terminology.
