Job Description

The People & Culture department at Tarleton State University is seeking highly dynamic administrative profession to join team. Interested parties are encouraged to review the position description and submit complete application packet.

The People & Culture Administrative Coordinator is an administrative professional reporting to the Associate Vice President with the primary role of directly supporting the People & Culture department in their initiatives, operations, daily activities, calendar/events, projects, and communications in a high paced organization. The administrative coordinator is responsible for confidential and time sensitive materials and communications. Skills include planning, calendaring, note-taking, organization, monitoring, detail orientation and collaboration.

This is an in-office position located in Stephenville, Texas with work hours of Monday to Friday; 8am to 5pm or as work requirements indicate.

Must be able to work remotely when requested by the University.

Responsibilities:

  • Greets customers face to face in person and via phone, serves as first point of contact for customer inquiries and works with Employment Support, Employee Support, and Employee Development teams to ensure delivery of customer service.

  • Plans, coordinates and executes administrative support functions and services, such front desk coverage, arranging for coverage if unavailable, ordering and maintaining office supplies and equipment. Coordinating front door access with Texan Card office for special events, and ensuring proper signage is displayed. Responsible for facility work/service orders. Orders business cards and name tags for office personnel.

  • Provides departmental budget and operations support by tracking departmental expenses, reconciling expenses against budget availability, preparing purchase requests in Aggie Buy, tracking and processing annual subscriptions, and timely processing procurement and travel expense reports for Directors.

  • Drafts and manages correspondence and communications, schedules appointments, and manages calendar. Plans and coordinates meetings, seminars, and other special events. Coordinates travel arrangements and prepares itineraries.

  • Handles outgoing/incoming mail, including FedEx/UPS Central Receiving items.

  • Makes recommendations for process improvements, administrative changes, or new initiatives.

  • Performs other duties as assigned

Requirements

Education and Experience:

Bachelor's degree or equivalent combination of education and experience.

Three years of related experience.

Knowledge, Skills and Abilities:

Knowledge of word processing, spreadsheet, database, and presentation applications.

Ability to multitask and work cooperatively with others.

Interpersonal and communication skills.

Planning and organization skills.

Salary

Commensurate with experience

The target base annual salary is $39,120 and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
