This position is based on Stanford’s main campus. This is a hybrid position, but fully on-site for the first six months. Interested candidates must include a resume and cover letter to be considered for this position.

This position is fixed-term for three years with the possibility of extension based on funding availability and programmatic need.

TheDepartment of Energy Science & Engineeringfocuses on developing the engineering science needed to transform the global energy system to sustain the people and the planet.

The Department is seeking a full-time Program Coordinator to provide administrative support for a complex Department of Energy University Research Consortium. The ideal candidate will have experience coordinating large (300+ attendee) multi-day events and will have strong communication and organizational skills. Your Responsibilities will include:

  • Coordinating the logistics of annual meetings, research group events, and workshops ranging in size from 20 to 300 people. Independently handling all event details including contracting with vendors, securing venues, managing event registration, and providing on-site event support.

  • Creating and editing web site content.

  • Managing complicated business travel in compliance with Department, University, and sponsor policies.Processing associated travel reimbursements and research-related purchasing card transactions.

  • Collecting, organizing, and consolidating data from multiple Principal Investigators for quarterly DOE reports. Adhering to DOE specifications for reporting requirements, formatting, and content.

  • Leading the organization of a summer internship program.

  • Act as the primary contact for the program.

  • Create the program announcement, set up the submission forms, and identify potential host institutions.

  • Perform a first pass at the internship applications and match them with host entities.

  • Managing the lead PI and Program Manager’s calendars. Determining priorities with the PI and Program Manager and resolving conflicting meeting requests accordingly.

To be successful in this position, you will need:

  • High school diploma and four years of administrative experience, or combination of education and relevant experience.

  • Demonstrated success in following through and completing projects.

  • Advanced computer skills and demonstrated experience with office software, and email applications.

  • Excellent organizational skills and attention to detail.

  • Strong verbal and written communication skills.

  • Excellent customer service and interpersonal skills.

  • Ability to prioritize, multi-task, and assign work to others.

  • Ability to take initiative and ownership of projects.

  • Ability to routinely and independently exercise sound judgment in making decisions.

In addition, our preferred requirements include:

  • Knowledge of Stanford University systems and policies.

  • Experience planning and coordinating a wide variety of events.

  • Experience with web site maintenance, preferably using Drupal.

Physical requirements: *

  • Constantly perform desk-based computer tasks.

  • Frequently sitting.

  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.

  • Rarely twist/bend/stoop/squat, kneel/crawl.

The expected pay range for thisposition is $33.17 to $43.75 perhour.
