Position Announcement

This position provides oversight and direction to accounts payable staff and campus departments relating to payment procedures and processing. Processes various types of requests for payment using the Banner and supporting operating systems. Prepares advance checks for prepayments and maintains an effective office filing system. Provides direction and oversight for campus travel policies and procedures. Additional information about the department is online athttps://employees.utahtech.edu/business-services/.

Responsibilities

  • Verify W-9 forms are valid for vendors and on file.

  • Responsible for control and recording of 1099 information and year-end preparation of 1099 vendor forms.

  • Control and maintain vendor direct deposit information.

  • Oversees campus travel program including policies, procedures, and processing; system administrator of travel system.

  • Oversees the payment of all vendor invoices and institution payment requests using the Banner Finance and supporting systems while verifying the integrity of account coding and approval process.

  • Work professionally with vendors and campus to settle invoicing issues and statement balances.

  • Oversees the data integrity, records storage, filing system structure, and long-term storage requirements of the Accounts Payable system.

  • Prepare accounting journal entries as needed for transferring funds or charging departments.

  • Reconcile general ledger accounts including purchasing card account and travel advances.

  • Assist various departments across campus with Accounts Payable questions and provides campus accounts payable trainings, as requested.

  • Assist in year-end closing and financial statement preparations.

  • Perform other duties as assigned.

Qualifications

  • Bachelor's degree in Accounting or related field required.

  • Two years' office/bookkeeping or related experience required; Accounts Payable experience (vendor setup, direct deposit set up, W-9s and 1099 preparation) preferred.

  • Ability to work with senior-level accountants in basic accounting skills.

  • Knowledge of the principles and practices of bookkeeping.

  • Knowledge of maintaining financial records, preparing routine financial reports and forms, and associated use of computer systems.

  • Ability to concentrate on details of projects during numerous interruptions by telephone calls or walk-in inquirers.

  • Knowledge of general office practices and procedures.

  • Ability to communicate effectively, both orally and in writing.

Supplemental Information

POSITION DETAILS, COMPENSATION AND BENEFITS:Full-time professional staff (overtime-exempt) position. Annual salary of $52,000+ depending on qualifications & experience. Desired start date of June/July 2024.
