THE OPPORTUNITY

The Office Administrator plays a vital role in streamlining the daily responsibilities of the Leadership team, enabling them to focus more time on high-priority tasks. Moreover, this role extends support with ongoing tasks to multiple departments within the organization. The Office Administrator will be a proactive, agile, and highly organized individual who is instrumental in managing the calendars and emails of the Leadership team, organizing meetings and travel arrangements, and providing administrative assistance across various departments in our globally dispersed organization. 

  

WHAT YOU WILL DO  

  • Support Leadership team located in San Jose and Denver and assist CEO's office as needed. 

  • Calendar and email management for Leadership team 

  • Order office supplies and provide general administrative support to employees 

  • Schedule meetings, arrange catering and organize off-site events 

  • Assist IT Team in the redeployment of computers 

  • Assist Finance team with review of expense claims and Accounts Payable items 

  • Assist with the completion and submission of Corporate forms and maintaining Corporate document registry 

  • Prime employee on-boarding 

  • Arrange airfare, accommodations, and conference logistics for Leadership team 

  • Manage travel application and verify bookings to ensure cost effective travel that meets travelers’ needs while adhering to corporate travel policy 

  • Own relationship with third-party travel management company and cultivate relationships with preferred airlines and hotels 

  • Conduct training sessions for new employees, provide user support, and ensure expense reports are compliant with travel policies prior to reimbursement 

  • Act as the subject matter expert (SME) for travel and expense reimbursements including responding to employee questions, Investigating/resolving queries from employees and service provider for travel bookings and providing general customer service 

  • Assist with ad hoc projects for various teams 

  • Other duties as assigned 

      

WHO YOU ARE  

  • At least 3 years of executive level administrative experience, ideally in the Technology sector 

  • Excellent computer skills and extensive knowledge of Microsoft Office (PowerPoint, Word, Excel, SharePoint) 

  • Ability to handle material and information with discretion and confidentiality 

  • Contagious positive attitude and appetite for development 

  • Ability to multitask in a fast-paced environment and anticipate last-minute changes 

  • Team player mindset with the ability to be flexible 

  • Strong business acumen and professionalism
