Job Responsibilities:

  • Serve as receptionist or front line liaison to internal and external contacts.

  • Greet customers, answer telephone, takes messages, provides directions, and triages.

  • Communicate general information about well-known and standard services, processes, and procedures using prescribed or established guidelines.

  • Types, reviews, and proofreads materials for typographical accuracy and proper format materials such as reports, correspondence, and materials.

  • Compiles information for directories, rosters, course support, etc.

  • Open, sort, and distribute mail. Collate, assemble, staple, and distribute materials.

  • Makes copies and scans documents.

  • Maintain cleanliness of mailroom, kitchen, supply room, or common area.

  • Orders and maintains inventory of office equipment and supplies.

  • Deliver and/or pick up documents, equipment, or supplies.

  • Performs data entry. Updates and tracks records such as address lists, contact lists, mailing lists, and logs. Runs standard reports.

  • Receives, fills out, and processes various routine forms.

  • Performs clerical bookkeeping tasks such as invoice payments and fee collection.

  • Schedules/cancels appointments and meetings. Records meeting minutes.

  • Provides event support such as providing information to participants, helping set up/tear down, and registration.

  • Assists with routine travel arrangements and submit travel reimbursements.

  • May supervise students.

  • Creating, proofing, editing, preparing, distributing, and monitoring fundraising and/or event materials, including documenting major donor proposals, grants, and acknowledgment documents.

  • Coordinating committee meetings/conference calls and calendar appointments with high-level donor prospects, RIT leadership (VPs, AVPs, Deans, etc.), and other key constituencies.

  • Maintains and updates volunteer committee websites.

  • Performing biographical updates as needed and ensuring data integrity of the Advance database system.

  • May perform other duties as assigned.

Required Qualifications:

Education/Experience:

  • Associate's degree or 2 years equivalent experience of general office, administrative, or programmatic experience.

  • Equivalent combination of experience and education may be considered.

Skills, Abilities, Knowledge

  • Team player with the ability to be flexible.

  • Excellent interpersonal and communication skills

  • Solid business writing and proof-reading skills

  • Advanced level user of MS Office, including Word, Outlook, Excel and PowerPoint

  • Ability to handle highly confidential information in a professional manner

  • Ability to work independently, take initiative and to manage multiple projects and deadlines

  • Strong analytical and technical aptitude with attention to detail

Preferred Qualifications:

  • Familiarity with databases

  • Work experience in higher education or fundraising

Job Summary:

The Senior Staff Assistant primarily provides standard and routine clerical and administrative support which includes reception/front office support, data entry, ordering supplies, opening & sorting mail, copying, filing, faxing, answering phones, greeting visitors, compiling information, typing and processing routine forms, assisting with set up of small events, making appointments, and assisting with simple travel arrangements.

Day to day work is initially closely and frequently supervised changing to occasional review as more independence is achieved. Work consists of routine or well-defined tasks, with specific instructions to achieve standardized solutions. Problems and issues are generally routine and of narrow scope with minimal complexity/variation and solutions are clearly prescribed. Communicates with contacts typically within immediate work unit on matters that involve obtaining or providing information requiring little explanation or interpretation. Incumbents work on acquiring basic knowledge of job content, practices and procedures, and are learning skills necessary to fully perform all aspects of the job. This position may assist in assigning work to student or temporary workers.
