Position Information

Under the supervision of the Financial Operations Manager (FOM), coordinates, oversees, and/or performs a wide variety of financial and administrative support activities for the School of Medicine (SOM) Department of Student Affairs. Provides support for the day-to-day various administrative support functions within the department. Initiates procurements, web recharges, travel coordination, and processes reimbursements. The Administrative Assistant will provide primary support for assigned unit retreats, staff unit meeting, activity logistics, farewell events, etc. Responsible for documenting, communicating, and disseminating departmental, campus, and UC policies and guidelines; fostering and sustaining appropriate customer/client relations.

The salary range for the Administrative Assistant for Student Affairs is $56,981.52 - $81,682.56 annually. The expected pay scale for this position is up to $79,364.88 annually. We base placement within these ranges on the individual's qualifications as they relate to this position.

Applicants must have current work authorization when accepting a UCR staff position. Currently, we are unable to sponsor or take over sponsorship of an employment Visa for staff.

As a university employee, you will be required to comply with all applicable University policies and/or collective bargaining agreements, as may be amended from time to time. Federal, state, or local government directives may impose additional requirements.

Experience Requirement

A minimum of four (4) years of related experience or an associate degree and two years of related experience is required. Required

Demonstrated administrative experience in a university or higher education environment. Required

Minimum Requirements

Ability to maintain confidentiality, exercise discretion and sound judgment.

Ability to work within a team and establish and maintain cooperative working relationships. Ability to interact effectively as an individual and a team member with department staff, faculty, students and outside community members.

Demonstrated ability to compose business correspondence, edit and use correct spelling, punctuation and grammar. Demonstrated skill in creating and editing documents in word processing applications using advanced features and creating spreadsheets and reports using Word, Excel, Power Point or other software applications.

Exceptional organizational, time management and general office management skills. Ability to prioritize and meet deadlines working with frequent interruptions. Ability to work on multiple assignments and manage time effectively to ensure deadlines are met in a fast-paced office.

Excellent oral, written, presentation, and interpersonal communication skills. Skill in communicating effectively and professionally using tact and diplomacy with a diverse population.

Skill in accurate record keeping with strict attention to detail.

Ability to work with people from diverse cultural backgrounds

Preferred Qualifications

Knowledge of University policies and procedures related to procurement practices, equipment management, general accounting practices, account reconciliation, travel and entertainment reimbursement.
