Department Information

The Operations and Advancement team oversees a strategic selection of campus enterprises and responsibilities, including: Facilities Management and the campus physical plant; Auxiliary Services and Campus Parking and Safety; Marketing, Communications, and Community Relations; Hispanic Serving Institution Initiatives; and the Denver-based Advancement team. This diverse portfolio allows our teams to imagine long-term partnerships; support a campus master planning initiative; establish new fundraising opportunities as long-term drivers for new and evolving academic and student experiences; and message and share CSU Pueblo’s statewide engagement and impact to stakeholders in Denver and beyond. Our team's objective is to build and strengthen CSU Pueblo’s ten initiatives of Vision 2028, and support the campus ecosystem, as we work toward achieving the three wildly important goals of the university: elevating the appeal of campus, enhancing student success, and developing our people.

As a core department in Operations and Advancement, the HSI grants programs at CSU Pueblo provide capacity-building opportunities for CSU Pueblo students, faculty, and staff through several federal programs.

Description of Job

The HSI Project Assistant will be responsible for supporting the HSI Administrative Coordinator in all day-to-day administrative, business, and general clerical support for the HSI office including, but not limited to: annual performance reporting, budgeting, expensing, contract processing, federal reporting, data collection, federal grant compliance, and liaising with campus constituents as needed.

Primary Duties

Administrative duties in support of HSI Initiatives office and related grant activities. Includes all financial processing and reconciliation, travel, student management, and contracts. Coordinates meetings and related administrative support of grant activities. Attendance at meetings; note-keeping and data reporting, as needed.

Coordinates data collection from multiple sources, including tracking enrollment, retention, and graduation in support of grant objectives. Prepares and manages Annual Performance Reporting information for oversight entities.

Tracking and projecting grant budgets; expensing and liaising for grants regarding all grant-related activity.

Other duties as assigned.

Ancilary Duties

Mailings, communications and event-management.

Participation on university or community committees in support of grant activities

Salary

$45,000-$50,000 per year plus benefits

Minimum Qualifications

  • 2 or more years of college

-OR-

5+ years of progressively expanded job duties

  • Experience in administrative support

  • Excellent written communication skills

  • Experience in higher education

  • Experience in office management

  • Experience in a position or activity that required the ability to engage campus partners or other similarly diverse groups within an organization

  • Experience in a position or activity that required excellent verbal communication skills

  • Experience with, or commitment to, working in a diverse work environment

Preferred Qualifications

  • Training in Kuali and AIS

  • Training in Banner

  • Familiarity with CSU Pueblo campus and operating systems

  • Experience with accounts receivable; financial aid procedures; billing; student enrollment and retention strategies and community outreach

  • Experience with travel procedures and procurement processing in a university office setting
