The Operations and Advancement division oversees a strategic selection of campus enterprises and responsibilities, including Facilities Management; the campus physical plant and construction; Parking and Safety; Auxiliary Services; Hispanic Serving Institution Initiatives, Marketing, Communications & Community Relations; and the Denver-based Advancement team. This diverse portfolio allows the teams to imagine long-term partnerships; support a campus master planning initiative; establish new fundraising opportunities as long-term drivers for new and evolving academic and student experiences; to develop meaningful relationships and pipelines with alumni graduates; and to message and share CSU Pueblo’s statewide engagement and impact to stakeholders in Denver and beyond. Description of Job
This position will play a crucial role in supporting the daily operations of the campus parking and safety departments. This position will be responsible for providing administrative assistance to the Director of Campus Safety and to the Parking Manager, assisting with various tasks related to campus security, emergency preparedness, campus parking requirements and safety compliance.
Primary Duties
Provide administrative assistance to the Director of Campus Safety and Parking Manager including managing calendars, scheduling appointments, and handling correspondence.
Maintain organized filing systems for documents, reports, and other relevant materials.
Maintain accurate records of campus safety incidents, including incident reports, investigations, and resolutions.
Coordinate drills and exercises to test the effectiveness of emergency preparedness measures and identify areas for improvement.
Generate regular reports on campus safety and parking activities, trends and compliance metrics as requested.
Respond to inquiries and requests for information regarding campus safety and parking policies, procedures, and services.
Assist with coordinating meetings, training sessions, and outreach events related to campus safety and parking initiatives.
Provide courteous and helpful customer service to students, faculty, staff and visitors, addressing their concerns and resolving issues in a timely manner.
Handle confidential information with discretion and maintain confidentiality in all aspects of the job.
Manage incoming calls, provide information, and take messages, and direct calls to appropriate individuals or departments.
Use the centralized parking computer system to assist Parking Manager with processing tickets and fines to include voiding, billing, correcting errors and ensuring the correct information is downloaded to the University’s computer system.
Enter Clery data into the campus safety database; ensure information is up-to-date and easily accessible.
Maintain accurate records and databases related to parking permits, citations, safety incidents, and security measures.
Assist with compiling information for regulatory compliance reports and accreditation requirements as necessary
Prepares all purchase orders in Kuali system with appropriate account numbers from budget in a timely and accurate manner.
Prepares reports from Administrative Information System (AIS) as needed.
Prepares deposits in a timely and accurate manner.
Compiles receipts, invoices, requisitions to be filed, processed for payment in a timely and accurate manner.
Maintains records retention as required by Campus records retention policy.
Monitor inventory levels of office supplies, place orders for supplies as needed, and ensure efficient use of office resources.
Coordinate basic technical support for office equipment, troubleshoot issues, and liaise with IT support as needed.
