Responsibilities:

  • Serve as the primary liaison between the executive and internal/external stakeholders, managing communication, emails, and correspondence.

  • Coordinate and manage the executive’s calendar, including scheduling meetings, appointments, and making travel arrangements (both domestic and international).

  • Prepare, edit, and organize reports, presentations, and documentation for executive meetings, board meetings, and conferences.

  • Organize and facilitate high-level meetings, including setting agendas, taking detailed minutes, and ensuring follow-up on key action items.

  • Manage the executive’s inbox by prioritizing and responding to emails, ensuring prompt communication and follow-ups.

  • Oversee special projects, ensuring timely completion, and provide general administrative support, such as managing budgets, invoices, and expense reporting.

  • Conduct research and gather information for reports, proposals, or meetings as needed.

  • Screen incoming calls and requests, redirecting them when appropriate and ensuring effective communication within the executive team.

  • Handle confidential and sensitive information with utmost discretion and professionalism.

  • Assist in organizing company events, staff meetings, and team-building activities for the leadership team.

    Requirements

  • 2-3+ years of experience in an Executive Assistant capacity.

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Exceptional organizational and multitasking abilities, capable of prioritizing tasks efficiently.

  • Strong communication skills, both written and verbal, with a courteous, professional demeanor.

  • Proven ability to manage sensitive and confidential information with discretion.

  • Proactive, resourceful, and detail-oriented approach to problem-solving.
