SUMMARY: Under the direction of the Assistant Director of Financial Services, the Accounts Payable Manager is a dynamic member of the department responsible for tracking and evaluating day-to-day accounts payable activities, ensuring compliance, and continuously improve efficiency and provide recommendations. This position supervises accounts payable team. Duties performed include the Cal Poly Pomona Philanthropic Foundation.

SOME OF THE THINGS THAT YOU WILL GET TO DO (this is just a small sampling of work variety):

  • Manage the Accounts Payable function and staff, which include:
    • Payables, purchase orders, incumbrances, contracts, and leases
    • Applicable tax procedures, withholding and submissions including 1099 forms, B-notices, use tax and federal reporting requirements.
    • Reconcile Advances, Purchase Orders, and Petty cash.
    • Audit to ensure accuracy and support documentation in compliance with CPPF policies and federal and state regulations.
  • Manage purchasing card process including policy monitoring, compliance, and card management.
  • Participate in month-end and year-end accounting closes.
  • Provide support to the annual audit and other auditing agencies as required.
  • Establish and maintain fiscal files and records to document transactions.
  • Work with colleges and university departments and provide support to colleges as internal manager.
  • Assist in other Financial Services functions, including, but not limited to:
    • Manage and oversee the daily operations of the organization, and work with other departments and enterprise units
    • Ensure compliance with established laws and regulations
    • Internal control monitoring and insurance policy review and implementing required updates.
  • Track Capital Expenditures and fixed assets.
  • Assist in other filings and requests, such as 990 and US census.
  • SUPERVISION: Responsible for the training of staff necessary to carry out effective operations of the area assigned; responsible for hiring, performance evaluation and ensuring staff has the level of proficiency required to perform job duties. Ensuring staffing levels are appropriate and aligned with the Foundations vision/goals.

MINIMUM QUALIFICATIONS:

  • BS Degree in Accounting, Finance is preferred
  • Strong communication skills, including interpersonal and customer service skills
  • Ability to interpret and apply policies and procedures to variety of situations
  • Ability to be resourceful and to take initiative
  • High attention to detail and accuracy
  • Organizational skills - ability to adhere to deadlines, prioritize projects, ability to effectively launch, monitor and evaluate operations and deliverables.
  • Proven knowledge of treasury operations and accounting principles, practices, standards, laws and regulations
  • Ability to direct and supervise
  • Advanced computer skills on MS Office, accounting software and databases
  • A minimum of 1-3 years of successful experience managing an accounting team
  • Ability to adhere to a regular work schedule.
