Job Description Summary

The University of Pennsylvania’s Abramson Cancer Center seeks a full-time Personnel Coordinator to support the Abramson Cancer Center Human Resources Manager, and the Abramson Cancer Center by providing routine and a variation of Human Resource duties as the Personnel Coordinator. The PC will serve and support the needs of the Center and their collaborators through the hiring process utilizing the Universities Workday system. The PC will collaborate and interact with various internal and external patrons, including the Perelman School of Medicine Division of Human Resource Compensation staff. The Personnel Coordinator will be responsible for handling sensitive employee data. Acquire knowledge of and enforce the University of Pennsylvania’s policy and practices, as well as a general knowledge of benefits. The PC will also act as a backup in processing electronic timesheets in the Workday system. They will maintain the ACC’s Human Resources computer database electronic files and manual files. Run Human Resources related reports, utilize and navigate various electronic database programs for Human Resource related purposes. Assist the Manager of Human Resources with electronic performance reviews, and practices, draft human resource announcements. The PC will serve as a liaison between the ACC’s Human Resources office and the ACC’s organization staff as well as other offices/divisions of PSOM and HUP, ensuring effective communication and prompt resolution of requests and questions. Resolve routine inquiries and problems requiring inhouse knowledge of inhouse divisional and departmental policies, procedures, and projects in a timely fashion. Obtain an understanding of Workday payroll processes. Assist the Human Resources Manager with ad hoc projects and assist the Human Resources Manager with duties as assigned.

Job Responsibilities

Provide timely and accurate data entry in the role of the HR Analyst using the University of Pennsylvania’s HR data base program in the management and the creation of all new hires, job board postings, and any driven employee changes into the University’s HR employee data base system, WORKDAY. This would entail the hiring of staff, students, temporary and intern employees. Serve as the HR Analyst systems backup and subject matter expert when ensuring data integrity of employee information.

Provide support and manage new hire onboarding processes for (including foreign nationals) and obtain and store required information, including but not limited to nursing licenses, internship documentation, all outside vendor contractor billing agreements submitting them for processing. Work with contract vendor representatives to ensuring good practices. Work with the HR Administrative Assistant in providing information of new hires for ID’s and other access required including terminations.

Support and serve internal collaborators i.e., Hospital of the University of Pennsylvania, Pennsylvania Hospital etc., providing various HR support.

Support and serve external collaborators in the same manner.

Manage confidential employee files and supporting documentation to ensure accurate and complete employee records, dispose of old records properly and be prepared to update employee’s personal information in WORKDAY if and when required to.

Support the Human Resource Manager by preparing and compiling monthly reports and documents (e.g., new hire/terminations reports) as needed, running and preparing other HR reports as needed. Draft HR announcements; may be asked to assist with performance management procedures and/or terminations.

Serve as a liaison between PSOM HR Compensation Specialist and the organization employees as well as other offices/divisions, ensuring effective communication and prompt resolution of requests and questions; resolve routine inquiries and problems requiring knowledge of divisional and departmental policies, procedures, and projects in a timely fashion. Acquire knowledge of the University of Pennsylvania’s policies, procedures and practices. Have a general knowledge of the University’s benefits.

Assist in payroll preparation by providing relevant data (e.g., salary increases, leaves, payroll updates etc.); Work with the Payroll Coordinator regarding payroll changes to ACC employee’s (updates) and with the Senior Grants Manager annually regarding staff annual increases.

Position is contingent upon continued funding.

Qualifications

High School Grad/GE Degree, and 5 years of experience or equivalent combination of education and experience is required. A bachelor’s degree in HR (or a related field) and 1 years of experience, or equivalent combination of education and experience preferred. Comprehensive knowledge of Human Resources practices, employment regulations and employee relations preferred. A demonstrated awareness of cultural competence. Exposure to payroll practices. Experience with Workday HR System a plus. Robust technical skills with a demonstratable experience in MS Office, and MS Excel. A readiness to learn other systems. Ability to manage and prioritize multiple assignments and work efficiently while remaining flexible to unforeseen changes in direction. Must be organized, accurate, thorough, and able to monitor work for quality. Must be dependable, initiative, able to adapt to change, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback. Excellent interpersonal and customer service skills are required. Soft skills a plus.
