Job Description/Essential Functions:

Horizon House, Inc. is a nationally recognized provider of services to adults with support needs due to developmental disabilities, behavioral health issues, and substance abuse. Horizon House is Pennsylvania's oldest psychiatric rehabilitation agency. Since 1952, we have been dedicated to helping people with mental illness, drug and alcohol addictions, developmental/intellectual disabilities, and homelessness to stabilize their lives and to help them live as independently as possible in the community. With over 100 locations throughout South and North Eastern Pennsylvania and the state of Delaware, Horizon House provides services to a diverse population focusing on individual strength and choice. Currently, we are seeking a full time Executive Assistant to work in our Developmental Services Division.

Some duties to include: Provide administrative support including a high volume of typing, filing, scheduling, maintenance of meeting and committee minutes, inter- and intra-agency communications and all related office procedures. Will be responsible for and maintain all Vice President's files, publications, and manuals.

Manage Vice President's correspondence including postal mail, electronic mail, and telephone calls. Manage messages and responses on behalf of Vice President and provide support to callers with routine concerns as assigned.

Coordinate, prepare, and distribute important or confidential mailings and documentation to and from the office. Collect Division and staff information and disseminate such information through established channels on behalf of the Vice President.

Maintain and coordinate Vice President's appointments calendar; apprise Vice President of possible problematic issues. Coordinate appointment related activities including his or her attendance at internal and external meetings, presentations and/or trainings.

Manage required documentation for Vice President such as expense reports, timesheets, and labor distribution reports. Prepare and distribute monthly reports to senior management on behalf of the VP.

Coordinate and manage Vice President's travel and parking arrangements including training registration, scheduling, reservations, confirmations, cancellations, etc.

Perform other duties and responsibilities as they relate to the overall enhancement of service delivery.

Job Qualifications:

Qualifications:

  •  A.A. degree in Secretarial/Administrative Science and 5 years of related office experience, at least 2 years in an executive secretarial capacity; or any combination of  experience, education or training that would provide the level of knowledge, skill and ability required
  • Working knowledge of office machinery and computers.
  • Intermediate MS Office Skills (Word, Excel, and  PowerPoint.)
  • Knowledge of database application and competence with spread sheet applications including Excel.
  • Detail task oriented.
  • Very Good communication skills, both oral and written.
  • Accurate typing and computer skills; ability to type 55 wpm.
  • Ability to work independently.
  • Knowledge of basic mathematics
  • Ability coordinate distribution of important and/or confidential mailings and documentation to and from the office.
  • Prior supervisory experience, preferred.

Scope:

  •  Frequent talking and active listening; written documentation.
  •  Requires sitting for long periods of time
  • Lifting and/or carrying, not to exceed 25 lbs
  •  Good manual dexterity and fine motor skills.
