Functioning as a member of the Child Life and Creative Arts Department, the Special Event Coordinator is responsible for tasks including, but not limited to, planning, scheduling, and evaluating special events and therapeutic entertainment, coordinating, and processing in-kind donations, assisting in departmental materials management and administrative tasks, and on an as needed basis providing training and onboarding to new volunteers and supervises their development. Works collaboratively with internal and external partners to successfully plan and execute special event and donations functions. Collaborates with hospital staff to develop the resources and logistics necessary for successful events, for optimizing event attendance, and management of in-kind donations from the community.

Essential Functions

Must perform all duties and responsibilities in accordance with the Service Standards of the Hospital(s).

  • Engages with internal and external stakeholders to develop organized guest lists, plans budgets, devises communication materials, allocates staff, and coordinates other logistics as necessary.

  • Coordinates and provides leadership for all departmental special events and donations.

  • Serves as the day-of-coordinator for all Child Life and Creative Arts special events and plans for contingencies for events to increase the likelihood of success.

  • Communicates with community donors and foundation personnel around in-kind donations and special events.

  • Manages and tracks incoming donations, supply orders, maintains donor information, and collaborates with foundation around donor engagement.

  • Responsible for the daily management and organization of supplies and materials related to events and donations. Frequently accepting deliveries, unpacking supplies, and moving boxes weighing up to 50 pounds when transporting supplies and donations between event and storage locations both indoors and outdoors.

  • Manages onsite and offsite storage of event and donation supplies utilizing appropriate software programs.

  • Collaborates effectively with multidisciplinary teams to assess programming needs and communicates needs effectively to the necessary departments.

  • Oversees volunteers and volunteer programs within the department as needed including developing volunteer training materials and maintaining volunteer schedules.

  • Facilitates efficient written and verbal communication with volunteers prior to, during and upon ending their role within the department.

  • Screens potential patient visitors, entertainers, and partnering groups for appropriateness, educational and therapeutic value.

  • Communicates the psychosocial and developmental needs of patients to potential visitors/entertainers to provide programs that are therapeutic and entertaining and protect the privacy and confidentiality of patients and families.

  • Prepares and executes the appropriate metrics to determine the effectiveness of an event, which is essential in the planning and refining of future events.

  • Collaborates with teams for media and fundraising as they relate to special events.

  • Ensures all appropriate patient consents and media is coordinated as well as post event follow up.

    Minimum Qualifications

    Any combination of education and experience that would likely provide the required knowledge, skills and abilities as well as possession of any required licenses or certifications is qualifying.

    Education: Bachelor's Degree in a related field.

    Experience: 1 year of experience in event coordination, volunteer program oversight, or child life in a hospital setting.

    License/Certification: None required.

  • Knowledge of volunteer management and event coordination.

  • Knowledge of infant, child and adolescent growth and development.

  • Ability to conduct training sessions, manage donations, and community relations.

  • Ability to evaluate effectiveness of all volunteer related systems and staff members

  • Ability to adapt to various situations as they occur.

  • Ability to interact with the public and with customer relations.

  • Ability to work well with children of all ages through advanced interpersonal skills that are required to interact with patients and families.

  • Ability to organize and manage projects and to handle projects independently.

  • Ability to work independently, perform sound judgment, diplomacy, tact and demonstrate a professional demeanor.

Pay Range

Compensation is based on the level and requirements of the role.

Salary within our ranges may also be determined by your education, experience, knowledge, skills, location, and abilities, as required by the role, as well as internal equity and alignment with market data.

Typically, new team members join at the minimum to mid salary range.

Minimum to Midpoint Range (1.0 FTE): $68,577.60 to $90,968.80
