The Penfield Library at the State University of New York at Oswego invites applications to fill a full-time Office Assistant 2 position, Grade 9.

Posting Date: August 2, 2023

Description of Responsibilities:

  • Perform office support and clerical work to meet the requirements of department programs and operations, working in one or more units within the department

  • Develop and maintain substantive knowledge of the program area and its program-specific applications and tools, which are subject to frequent change

  • Duties will include (but are not limited to):

  • Process incoming and outgoing materials;

  • Maintain and organize public facing inventory including shelving, shelf-reading, and shifting;

  • Perform or assist in retrieval and digital scanning of material to fulfill requests;

  • Collect usage statistics;

  • Prepare documents and reports; and

  • Other related activities

  • Regularly consult with higher level staff and work in coordination with multiple other employees

  • Requires complicated clerical processing and office support work using program-specific and standard office computer programs (Ex Libris Alma, Illiad, PastPerfect, MS Office suite, Google Office suite, Adobe Acrobat, etc.)

  • Significant physical requirements are required in this department, such as the ability to:

  • Maneuver throughout the building and between shelving units;

  • Stand for long periods of time;

  • Bend down and reach up to retrieve, place, or manipulate books on the shelves, such as rearranging during shifting and deselection projects (where large quantities of books are moved from shelves and put elsewhere); and

  • Utilize a rolling cart, including the ability to push a cart full of books to the elevator and throughout the building

  • Assist patrons, faculty, and staff at service desks or throughout the facility

  • Maintain working knowledge of department procedures, policies, technologies, and equipment (laptops, microform readers, copiers, scanners, media viewing equipment, etc.)

  • Instruct patrons and student assistants on use of resources and equipment

  • Troubleshoot problems and communicate issues to appropriate staff

  • Assist with the coordination, training, and supervision of student assistants

  • Engage in department-sponsored educational/training opportunities, including opportunities to increase awareness and understanding of diversity and inclusion

  • Perform other tasks consistent with the New York State Department of Civil Service classification standard for Office Assistant 2, Grade 9

    Job Requirements:

Minimum Qualifications:

Candidates must be permanent competitive or 55 b/c employees of New York State to be eligible to apply for this position.

Permanent Appointment:

One year of permanent competitive service as an Office Assistant 2 OR be reachable on the Office Assistant 2 eligible list OR have one year of permanent competitive or 55b/c service in a title eligible for transfer under Section 70.1 of the law.

70.1 Transfer or Reinstatement:

One year of permanent competitive or 55b/c service as an Office Assistant 2 OR have one year of permanent competitive or 55b/c service in a title within two salary grades of the target title that is eligible for transfer under Section 70.1 of Civil Service Law.

Reassignment:

Permanent competitive or 55b/c service as an Office Assistant 2.

Provisional Appointment:

Eligible for provisional appointment under NYS Civil Service guidelines.

Conditions of Employment:

This will be a permanent or provisional appointment. Candidates should be aware that a preferred list, transfer list, placement roster and/or reemployment roster of laid off State employees may be certified against this vacancy by the Department of Civil Service.
