Atlantic Health System Business Office Supervisor in Newton, New Jersey

Responsible for overseeing the performance of other employees, task assignments, and establishing deadlines. Bills, collects, creates entries in the company's database, and reconciles balances. Ensures that the junior staff completes their work within the set timelines with a high-quality output. Develops a plan of action, implements, and supervises the work of other employees.

Principal Accountabilities:

  1. Instructs and oversees the performance of junior office employees.

  2. Develops work schedules and assigns the tasks to other staff members.

  3. Ensures that the assignments are complete on time and follows the prescribed instructions.

  4. Motivates and trains junior staff employees creatively.

  5. Monitors the progress of the other office employees.

  6. Investigates and addresses complaints received from the clients.

  7. Audits the operations to ensure that the work is compliant to the guidelines provided.

  8. Identifies problems and variances and addresses these issues.

  9. Performs other related duties as assigned.

EDUCATION:

High School Diploma or equivalent

QUALIFICATIONS:

  • Proven admin or assistant experience

  • Knowledge of office management systems and procedures

  • Excellent written and verbal communication skills

  • Strong organizational and planning skills

  • Proficient in MS Office

    LEVEL I – 0-3 years of prior experience – HS Diploma or equivalent. Work and tasks are most often routine, structured and transactional in nature, may require physical labor; work requires minimal variance from guidelines and procedures. Makes routine decisions regarding assigned task within defined parameters, often limited and confined to ongoing matters. No leadership responsibility.

    LEVEL II – 3-5 years of prior experience – HS Diploma or equivalent. Associates/Technical Degree or equivalent combination of education/experience. All legally/reasonably expected certifications needed for function and level. Performs moderately complex assignments that require an ability to recognize the need to occasionally deviate from accepted practices. Makes routine and non-routine decisions with some latitude, but still subject to approval. Requires little instruction on day to day work; majority of work is self-directed. May provide skills training and direction to new staff within own department.

    LEVEL III – 5+ years of prior experience – Associates/Technical Degree or equivalent combination of education/experience. All legally/reasonably expected certifications needed for function and level. Top expert and functional mentor; possesses the most advanced administrative support knowledge of the function/family and department. Makes decisions regarding daily priorities for a work group/function; provides guidance to and/or assists staff on non-routine or escalated issues. Works under minimal supervision, uses independent judgement requiring analysis of variable factors. Recommends scheduling of work assignments and daily work priorities. Provides work guidance over a function, including checking and assigning work, to ensure accurate and timely completion of tasks.
