The Executive Meetings & Events Team, within Corporate Affairs & Communications, strives to provide white glove end-to-end event management service for Chairman’s Office, Amex Board of Directors and select Executive Committee Members. On average, handle approximately 30 complex programs annually.

The Manager, Executive Meetings & Events position will serve as a key leader in the Executive Meetings & Events Team – specifically acting as the primary client liaison and lead for members of the American Express Executive Committee offices in spearheading the strategy, planning, and execution of marquee meetings & events. This position requires a leader with strong relationship management experience. This role reports into the VP, Executive Meetings & Events.

This role will be responsible for the handling of:

Event/Meeting Categories:

  • Signature Client Entertainment Programs (specially curated for executive hosts)

  • Partnership Meetings (Strategic Partnership & Global Network Services)

  • Large Scale Conferences & Sales Meetings

  • Executive Committee Leadership Meetings

  • Executive Committee Ad Hoc Events

How will you make an impact in this role?

  • Able to manage any level of event including those of a complex nature, large volume, high level of confidentiality, international scope, etc.

  • Develop project timelines; establish a workflow schedule with client and suppliers to facilitate prompt and accurate handling of all program details.

  • Collaborate with Global Business Travel (GBT) on elements pertaining to hotel RFP, APP, CVENT, group air travel needs for meetings.

  • Review and sign off on supplier contracts working with GBT, ensuring both program specific and generic terms and conditions are accurate and legally protective of both GBT and the client, including attrition dates, cancellation policies, etc.to ensure contracted services are executed. Uses appropriate authorization and addendum form to ensure consistency and accuracy.

  • Work with GBT to complete final bill, review final billing prior to final invoicing to client

  • Evaluate program impact and reassesses objectives and outcomes, plan for continuous improvement

  • Responsible for ancillary venue/vendor sourcing, coordination & delivery – security, décor, gifting, photographer, etc.

  • Strictly adhere and be able to advise on all AXP meeting policies and procedures

  • Work closely with support departments to exceed client requirements and objectives

  • Partner with third party suppliers to arrange their services

  • Conduct regularly scheduled status meetings with client and stakeholders from pre-launch through program operation. Ensure program objectives are executed

  • Manage VIP, C-Level special projects and oversee VIP logistics/Incentives

  • Responsible for accurate program forecasting and updating business management systems with accurate financial information as needed

  • Manage overall program budget, review and audit all program related billing for accuracy. Track and report expenses to clients and communicate changes on a consistent basis

  • Responsible for final billing and reconciliation (consolidated invoicing paid through American Express M&E) working with GBT

Minimum Qualifications:

  • At least 7 years corporate meeting planning experience

  • Experience in Large Scale, C-Level, sporting events, experiential activations

  • Strong executive presence. Capable of working under pressure with a positive attitude and calm demeanor

  • Maintain proactive, positive, open line of communication with client to ensure understanding of expectations and client satisfaction

  • The candidate must be strategic, forward thinking, have a strong executive presence, and deliver flawless execution of logistics based off program and company objectives

  • Highly organized, detail oriented, forward-thinking, and proactive,

  • Excellent written and verbal communication skills and ability to communicate effectively and professionally with all levels of management and clients

  • Ability to work in a fast-paced environment while consistently meeting project deadlines and maintaining high quality standards

  • Expert ability to influence partners to drive results – analytical skills required

  • Strong project management skills with attention to detail and proven success driving results

  • Expertise with Excel (data manipulation and analysis, equations, etc.) and PowerPoint (creating and editing presentations)

  • Experience with meeting industry technology, especially for attendee registration (Cvent)

  • Ability to report to the American Express Tower when requested

  • Must be willing to travel - Domestic and international

Qualifications

Salary Range: $80,000.00 to $155,000.00 annually bonus benefits
