The Executive/Admin Assistant is a critical member of Global Treasury who provides organizational support and ensures that the team’s logistical needs are met, and helps to promote a positive atmosphere and work culture. The successful candidate will be responsible for day-to-day administrative support for three Vice Presidents (VP) including calendar, travel, and expense management. In addition, they will support each VP’s teams on personnel-related tasks including onboarding and offboarding of colleagues, supply management, and other ad-hoc projects such as colleague engagement.

The role will require excellent communication and organizational skills. An ideal candidate will have demonstrated success in an administrative assistant role, with proven attention to detail and sound judgement. They must be able to act proactively and independently when required and have a positive attitude. Preferred candidates will have high proficiency with Outlook, Excel, Word and PowerPoint, as well as knowledge of Concur, Reserve, Cisco/WebEx, Ariba, Navigator, Payroll, and TechCare.

Key Responsibilities Include :

  • Supporting Vice President-level executives with calendar management with a high level of integrity by proactively arranging, confirming, and managing meetings with all related logistics (rooms, WebEx, documents, catering, etc.) and reviewing calendars for conflicts that might occur and making necessary adjustments

  • Handling high volume of inbound and outbound emails and phone calls with discretion in dealing with highly sensitive and confidential information

  • Facilitating travel and expense management by coordinating necessary passport/visa documentation when needed, scheduling often complex domestic and international travel (flights, hotel and ground transportation), and preparing travel and expense reports in a timely manner

  • Actively participating in meetings, managing organization charts, and maintaining team distribution lists

  • Assisting team and peers with process and calendar related questions and best practices

  • Managing departmental assets, supplies & services procurement and other administrative support tasks

  • Performing general tasks including, but not limited to, preparing correspondence, research requested information, prepare pre-meeting materials for review

  • Other related projects and duties as requested

Minimum Qualifications :

  • Experience with success as an administrative assistant

  • Excellent organization and prioritization skills with strong attention to detail and accuracy, particularly with calendaring

  • Must be able to manage multiple tasks efficiently and effectively while meeting deadlines

  • Excellent communicator who is able to influence at all levels of the organization

  • Demonstrated ability to exercise sound judgment, act independently, anticipate needs, and be resourceful

  • Demonstrated great attitude, positive energy and outlook, valuing personal excellence and strong work ethic with will-to-win

Preferred Qualifications :

  • Highly proficient with Outlook; Proficiency with Excel, Word, and PowerPoint a plus

  • Knowledge of platforms such as Concur, Reserve, Cisco/WebEx, Ariba, Navigator, Payroll, and TechCare is preferred

Qualifications

Salary Range: $24.05 to $48.10 hourly bonus benefits
