Summary About the Position: You will serve as a Division Chief Secretary within the Nashville District. The Division Chief secretary will support the Engineering & Construction, Programs, or Operations Division chiefs. This vacancy is for 3 positions. Responsibilities Receive and refer telephone calls and visitors. Exercise diplomacy and professionalism in determining nature of business of calls. Maintain folders/lists of upcoming meetings, conferences, appointments, project site visits and phone calls and will remind appropriate supervisors of commitment times and dates. Assist in arranging sponsored meetings, events, and conferences. Arrange detailed travel schedules/itineraries, reservations, automobile reservations, speaking engagements, etc. Maintain correspondence log for all incoming and outgoing mail for the Division Office, noting due dates for correspondence replies and tracks responses to ensure due dates are achieved. To qualify at the GS-06 grade level, you must have: Specialized Experience: One year of specialized experience which includes performing a variety of clerical duties to include drafting correspondence, receiving, and controlling mail, making travel arrangements, and/or preparing time and attendance. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-05); OR Some federal jobs allow you to substitute your education for the required experience in order to qualify. For this grade level, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted. To qualify at the GS-07 grade level, you must have: Specialized Experience: One year of specialized experience which includes utilizing established policies and procedures to communicate information to internal/external customers; typing, reviewing, and editing correspondence for correct grammar, punctuation, and format; operating several databases to manage several calendars, make travel arrangements, and/or input time and attendance. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06); OR Some federal jobs allow you to substitute your education for the required experience in order to qualify. For this grade level, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted. To qualify at the GS-08 grade level, you must have: Specialized Experience: One year of specialized experience which includes developing policies, procedures, priorities, and program goals to direct the flow of the Division Office; typing, reviewing, and editing correspondence for correct grammar, punctuation and format; utilizing multiple databases to manage calendars, make travel arrangements, prepare orders, and assist and/or process personnel actions and performance evaluations; coordinates ordering of supplies and equipment for the Division Office. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-07); OR Some federal jobs allow you to substitute your education for the required experience in order to qualify. For this grade level, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted. You will be evaluated on the basis of your level of competency in the following areas: Administration and Management Customer Service Organizational Awareness Technical Competence Time in Grade Requirement: For GS-06 - Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-05). For GS-07 - Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-06). For GS-08 - Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-07). Education Additional Information Male applicants born after December 31, 1959, must complete a Pre-Employment Certification Statement for Selective Service Registration. You will be required to provide proof of U.S. Citizenship. One year trial/probationary period may be required. Direct deposit of pay is required. Selection is subject to restrictions resulting from Department of Defense referral system for displaced employees. This is a(n) CP 51 - General Administration and Support Career Field position. Multiple positions may be filled from this announcement. Salary includes applicable locality pay or Local Market Supplement. Payment of Permanent Change of Station (PCS) costs is not authorized, based on a determination that a PCS move is not in the Government interest. Relocation/Recruitment incentive may be authorized for a highly qualified candidate and an agency determination that payment is in the Government Interest. If incentives are authorized a service agreement is required.
