Job Title: Administrative Assistant

The primary function of this position is to provide administrative support to the Regional Service Manager and the Marion Branch Service Manager. Duties include general purchasing, inventory, and accounting responsibilities and project-based work. Project a professional company image through in-person and phone interaction.

Essential Duties / Responsibilities:

Include the following. Other duties may be assigned.

  • Answering all inbound phone calls and distributing calls to appropriate people and departments.

  • Answer incoming service calls and distribute them to Service Manager & Service Fitters.

  • Miscellaneous filing.

  • Ordering and maintaining the Equipment Report (lifts, lulls, gators, etc).

  • Maintain GPS Tracking Report.

  • Maintain the service manpower schedule.

  • Keep track of time-off schedule of office, fitters, inspectors.

  • Follow-up with customers on any inspections outstanding balances for A/R.

  • Schedule Inspections.

  • Schedule Service Jobs / Tickets.

  • Setting up new customers in Falcon.

  • Update & maintain existing sites in Falcon/CRM.

  • Entering & updating inspection frequencies.

  • Creating work tickets for inspections, service, A&D and special hazards/extinguishers.

  • Order inspection forms & tags.

  • Maintain inspection materials inventory.

  • Toolbox talks.

  • Ship any outgoing shipments via UPS & FedEx.

  • Order & maintain office supplies.

  • Print drawings and specifications for bids.

  • Obtain permit information.

  • Submit big bond requests.

  • Update and maintain jobs to bid report.

  • Attend any necessary meetings.

Qualifications:

Education / Work Experience:

  • High School Diploma or GED is required.

  • 3+ years of administrative experience is required.

  • Construction industry experience is a plus.

  • Previous accounting experience is a plus.

Computer Skills:

  • Significant experience with Microsoft Office (i.e., Word, Excel) applications required.
