UCLA Health Purchasing Assistant in Los Angeles, California

Description

As our Purchasing Assistant you will be responsible for the day-to-day office purchasing and order tracking for the Department of Medicine Administration Office. You will process all purchasing orders, including, TSR, FSR, P-39 and all forms related to purchasing and reimbursements, assist in general office and clerical duties to a high traffic administration office. Additional duties will include, but are not limited to:

  • Answer and screen incoming phone calls

  • Assist in audiovisual support

  • Distribute mail, faxes, and poster printing

  • Maintain inventory of equipment, supplies, and keys

  • Create on-line orders via Bruin Buy system

Salary range: $28.23 - $40.44 HourlyQualifications

Required:

  • Demonstrated ability to set and meet internal deadlines, work independently, use judgment and make decisions.

  • Strong computer skills sufficient to prepare all types of Purchase Orders, maintain calendars, communicate by email, edit and revise documents, track activity.

  • Strong written and oral communication skills to establish and maintain cooperative working relationships with faculty and staff.

  • Demonstrated ability to work independently and follow through on assignments with minimal direction.

  • Ability to work when there are changes in workload and pressures of deadlines

  • Strong organizational skills

  • Computer knowledge and skill to use word processing and database programs, including MS Word, Excel, PowerPoint and Access.

  • Ability to maintain confidentiality of sensitive information

Preferred:

  • Experience in UCLA Bruinbuy, Travel Express, and other systems as needed.

  • Working knowledge of University Policies and Procedures: including University accounting forms and procedures, purchasing and material management policies and procedures, ordering office and lab supplies, familiarity with standard University vendors and their products, travel procedures and preparation of travel vouchers, facilities maintenance procedures and preparing service request forms.
