UCLA Health Assistant to the Chief in Los Angeles, California

Description

The Department of Medicine is seeking to hire an Assistant to the Chief of Cardiology. In this role, you will provide executive-level administrative and analytical support to the Chief, ensuring the smooth operation of departmental affairs. Your responsibilities will encompass a wide range of crucial tasks, including department administration, facilities and equipment management, space allocation, event planning, and committee staffing. As part of your role, you will also spearhead ongoing and special projects, fostering relations with stakeholders across the School and University to promote productive collaborations and enhance the department's overall effectiveness.

Annual range: $60,100-$123,900Qualifications

Required:

  • Ability to prioritize and organize projects through multiple phases. Ability to meet deadlines and follow through on multiple tasks simultaneously with careful attention to detail, accuracy, completeness and thoroughness.

  • Ability to work independently, with only general supervision and as part of a team.

  • Excellent organizational skills in all areas of administration.

  • Detailed knowledge of the scheduling and maintenance of a complex executive calendar, arrangement of travel itineraries.

  • Demonstrated expertise in triaging incoming calls and correspondence in a high volume office.

  • Ability to analyze information and material, identify omissions and duplications and make appropriate corrections.

  • Math skills sufficient to develop simple budgets and process reimbursement forms.

  • Ability to establish and maintain a complex and diverse filing system for ease of data retrieval.

  • Interpersonal skills to effectively develop and maintain cooperative working relationships with faculty, staff and collaborators.

  • Effective excellent communication skills to collect and relate information with accuracy and diplomacy.

  • Ability to handle confidential and sensitive material with discretion, tact, sensitivity and diplomacy.

  • Knowledge in MS Word, Excel, Power Point, Outlook and Adobe.

  • Skilled in analyzing information, problems, situations practices and procedures; identify patterns and tendencies, formulate logical and objective conclusions and recognize alternatives and their implications.

Preferred:

  • Working knowledge of University forms and procedures.

  • Working knowledge of medical and scientific terminology.

  • Ability to use Bruin Buy+ system

  • Ability to use Travel Concur system

  • Working knowledge of university, NIH and other major award agencies grant and contract policies. Knowledge of grant preparation and submission. Ability to serve as liaison with PIs, department, OCGA and funding agencies.
