INTERSTATE MECHANICAL CONTRACTORS, INC. Administrative Assistant in Knoxville, Tennessee

FUNCTIONAL ROLE

The Administrative assistant is responsible for the administrative support of all clerical aspects of the office.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Greet and eagerly assist customers and visitors via phone and in-person.
  • Work diligently to go the extra mile to leave each caller and visitor with a positive impression of Interstate Mechanical
  • Organize work station so that all reference information (Job List, Employee Directory, Phone List, Licenses, certificates, bid list, etc.) is readily available to allow quick and knowledgeable handling of phone calls.
  • Take the time to ask good questions and engage with callers so that all calls are handled appropriately and make it to the correct department.
  • Properly screen all calls to company Officers and HR
  • Process all incoming and outgoing mail and faxes
  • Serve as liaison for all technology needs for the company including monitoring inventory, setting up devices and trouble-shooting device issues with staff, etc.
  • Data entry of accounts payable invoices including credit card and fuel card transactions.
  • Assist with managing the company's social media accounts.
  • Be proactive in finding ways to support management and office staff to help lighten their load and to foster a positive work environment
  • Provide administrative support to company officers and HR including but not limited to: typing correspondence; preparing document drafts sometimes with minimal direction, making corporate travel arrangements for management, office staff, and field staff; preparing/maintaining spreadsheets; preparing new hire packets; entering benefit enrollment forms via the website;
  • Responsible for monitoring office supplies; placing orders and shopping prices to minimize the cost of supplies. Additionally, responsible for monitoring and stocking cleaning supplies (soaps, paper towels, and toilet paper)
  • General housekeeping items including but not limited to: loading and unloading dishwasher daily, keeping kitchen and copier are neat; keeping coffee supplies stocked and coffee made; keeping bottled water stocked in the refrigerator; keeping front entrance neat
  • Monitor deliveries and make sure items are picked up or delivered to the correct individuals
  • Prepare cards for monthly Interstate anniversaries and have ready for President's signature; mail out timely so that they arrive by anniversary
  • Other duties and responsibilities assigned by management

EDUCATION AND/OR EXPERIENCE

High school diploma or general education degree (GED); one (1) year related experience and/or training; or equivalent combination of education and experience. Position requires the ability to quickly adapt to change and new computer programs, as well as, current technology. Experience in accounting or accounts payable a plus!
