We currently have an opportunity for an Administrative Assistant to join the team in our Hunt Valley, MD office.

The selected individual will have the opportunity to provide customer service to our staff and to our clients. You will provide administrative support to our team and will help our team build stronger relationships with our clients.

Job Responsibilities:

  • Present a friendly, professional image as a representative of the company.

  • Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel or department in a friendly and professional manner.

  • Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel.

  • Performs other clerical duties as needed, such as typing, filing, photocopying, printing, scanning, etc.

  • Receive, sort, date stamp, and route mail or packages to appropriate personnel.

  • Prepare and send outgoing mail; maintain postage meter and add funds as necessary.

  • Order, receive, and maintain office supplies and marketing materials.

  • Coordinate maintenance of office equipment with vendors.

  • Maintain the cleanliness of the conference room and break room including trash removal.

  • Act as backup support to all departments.

  • Update account information and attach documentation in the agency management system as needed.

  • Assist with client review meeting preparation.

  • Process client service requests.

  • Attend and complete any training sessions or assignments as required.

  • Establish and maintain effective professional working relationships with co-workers, and every level of management.

  • Communicate with co-workers, management, clients, and others in a courteous and professional manner.

  • Conform with and abide by all regulations, policies, work procedures, and instructions.

  • Other responsibilities and projects as assigned by Manager.

Qualifications:

  • High School Diploma required; some college preferred.

  • Proficiency with Microsoft Office products including Word, Excel, Power Point and Publisher.

  • Ability to work both independently and as part of a team.

  • Ability to pay attention to detail.

  • Ability to solve problems of a difficult procedural, organizational, administrative or technical nature.

  • Excellent organizational, interpersonal, communication skills and ability to work in a team environment.
