Position Description:

The Event Coordinator will coordinate various corporate training events and meetings from beginning to end. This includes managing all event logistics such as venues, registrations, travel and accommodations, event announcement and materials, event set up, and event tear down.

Compensation range:

$20.00-$25.00

Position Qualifications:

  • High School Diploma or equivalent

  • 1+ years of relevant event planning experience and/or a combination of education and experience.

  • Valid Driver License.

  • Self-directed and able to work independently.

  • Customer service focused.

  • Ability to work internally with staff at all levels of organization and externally with multitude of organizations.

  • Experience working with a budget.

  • Great attention to details and highly organized.

  • Excellent communications skills with all relevant parties including leadership, team members, and external partners.

  • Ability to multitask and remain calm in a fast-paced environment.

  • Positive attitude and creative problem solver.

  • Strong computer skills – Microsoft Office Suite

  • Availability to work occasional weekends and evenings.

Essential Duties:

• Plan, organize, and manage corporate meetings including the monthly Board meeting and company-wide training seminars.

• Work with internal team to create event announcements and materials and maintain Hensel Phelps’ online event site.

• Manage event registrations and correspondence with attendees.

• Handle full coordination of travel plans including hotel room blocks.

• Develop and maintain a strong working relationship with venues, vendors, travel organizations, etc. for events.

• Travel to event locations to lead onsite logistics, as needed. Onsite logistics will require this role to liaison with conference staff to ensure proper BEOs, stage, AV, and seating chart set up.

• Responsible for advance and day-of event promotion and marketing. Preparation of printed materials and brand coordination with Corporate Marketing and Corporate Training is expected.

• Manage and oversee events on the day of, including problem-solving, welcoming guests, communicating with venue staff, and managing take-down.

Plan, organize, and manage corporate meetings including the monthly Board meeting, company-wide training seminars/summits.
