Description of Work Unit

The Department of Clinical Sciences mission is to assure the health and productivity of animals to meet societal needs through high-quality educational programs for professional veterinary medical students, graduate veterinarians, and the public through a faculty and veterinary medical center of excellence, and to advance and disseminate comparative biomedical knowledge in an environment of interdisciplinary collaboration.

Position Summary

This 50% FTE position will provide comprehensive administrative, planning, and organizational support to two program faculty members responsible for delivering 8 veterinary communication courses and 4-6 veterinary communication continuing education workshops annually. The courses are collaboratively taught, and as the administrative assistant, you will play a vital role in supporting faculty, guest instructors, communication coaches, and simulated clients. Your contribution is essential in ensuring the delivery of high-quality education to veterinary students and facilitating professional development for veterinarians.

Required Job Qualifications

  • Bachelor’s degree;

OR

  • Associates degree plus 2+ years’ experience in program/office administration/coordination, event or conference planning/coordination, continuing education, business, or communication

OR

  • High School Diploma (or GED ) plus 4+ years’ experience in program/office administration/coordination, event or conference planning/coordination, continuing education, business, or communication

    PLUS

  • Proven proficiency in office management, program administration, and event planning

  • Outstanding communication, interpersonal, and customer service skills with a high level of professionalism

  • Meticulous attention to detail in project management

  • Exemplary organizational and time management abilities

  • Capability to work effectively both independently and as part of a team within established frameworks

  • Strong writing and editing proficiency

  • Advanced skills in Outlook, Word, Excel, Canvas, Zoom, and Microsoft Teams; ability to quickly adapt to and learn other software (e.g., Wordpress) and electronic platforms

Job Duty CategoryTeaching Support – Communication Coursework

Duty/Responsibility

  • Coordinates classrooms, small group rooms, and debriefing rooms for preparatory training events and courses.

  • Recruits and schedules communication coaches and enrolls coaches as guest associates in collaboration with Department HR and Department Fiscal Officer, processes coach honoraria, and manages travel reimbursement.

  • Clarifies roles and responsibilities using established SOPs and sets deadlines for course preparation and implementation with program faculty.

  • Updates process and task lists to guide the preparation of each course in consultation with program faculty.

  • Creates coach training agendas and case rotation schedules.

  • Provides onsite support for communication laboratories and prepares materials for instructors, coaches, simulated clients, and participants.

  • Hosts all participants in the coursework, including classroom instructors, coaches, simulated clients, and veterinary students.

  • Arranges hospitality for coach training sessions and communication laboratories.

  • Organizes student groups, role tables, and simulated client and facilitator binders for Foundations in Veterinary Medicine courses.

  • Sets up course content and enters and tracks student assignment submission/grades in the educational learning system (Canvas).

  • Updates, compiles, summarizes, and distributes course evaluations, including simulated client, coach, and student feedback.

  • Circulates thank-you notes to coaches, instructors, and key partners participating in the course.

  • Coordinates scheduling and planning for 3-4 onsite and 1-2 offsite continuing education workshops annually.

  • Updates process and task lists for each event in consultation with program faculty and seeks clarification when necessary.

  • Clarifies roles and responsibilities using established SOPs and sets deadlines for workshop preparation and implementation with program faculty.

  • Recruits and schedules communication coaches, collaborates with offsite meeting planner(s).

  • Works with the Department Fiscal Officer to process contracts for simulated clients and coaches.

  • Arranges shuttle services between the hotel and veterinary teaching hospital and books accommodations for simulated clients, traveling coaches, and participants.

  • Coordinates hospitality for the workshop and coach training, including room set-up, catering, and offsite dinner.

  • Serves as the host and point-of-contact for all workshop attendees, including coaches, simulated clients, and visiting veterinarians.

  • Prepares instructor, coach, simulated client, and participant training materials (hard and electronic) and updates materials in learning management system (CSUVetCE).

  • Requests and tracks invoice payments and individual registrations.

  • Compiles and summarizes participant evaluations and corresponds with coaches, simulated clients, and key partners.
