The College of Arts and Sciences (CAS) is the hub of learning, research, and academic excellence at the University of Oregon. CAS is organized into eight Academic Support Units (ASUs), each housing staff, managers, and an associate director, who provide undergraduate and graduate academic support, as well as faculty and operational support to the multiple academic departments and programs in CAS. ASU 5 is a uniquely positioned unit that provides support to faculty and students interested in how artistic expression and human experience intersect with both the humanities and social sciences, in the past and in the present. Covering disciplines that study ethnicity, history, culture, identity, and creativity, ASU 5 is a hub of research and instruction for some of the most vital and profound subjects posed in our modern global society. ASU 5 includes the following departments, programs, and research center: Black Studies, the Center for Latino/a and Latin American Studies; Cinema Studies; Creative Writing; History; Indigenous, Race and Ethnic Studies; Latinx Studies; Native American & Indigenous Studies; Queer Studies; Theatre Arts; and Women's, Gender, and Sexuality Studies.

Position Summary

The Operations Specialist will provide lead support for either faculty support or operations support within their assigned ASU, and in some cases, may provide lead support for both faculty and operations programs.

The operations specialist role supports students and faculty within the assigned Academic Support Unit (ASU) and assists the Operations Programs Manager (OPM) with technical consultation, operations review, program training, and special projects, developing in-depth knowledge and expertise to be able to interpret policy and procedures, as well as consistently coordinate and administer program operations and special projects in assigned areas.

This position is a primary, day-to-day point of contact for students and faculty, responsible for independently communicating with individuals and groups at all levels of the university to research, interpret, and disseminate information. This position oversees and coordinates the administration of faculty support/operations programs within the assigned ASU, assessing programmatic functions, proving data analytics, developing reports, and recommendations on advances. This position also provides guidance to students, faculty, and other academic staff related to faculty personnel, tenure and non-tenure track faculty administration, and special programs. This position will triage escalated unit concerns and follow them through to resolution.

As an operations staff lead, other duties will include technical consultation including serving as a communications link within the unit by interpreting rules, regulations, program policies, and procedures to both internal and external stakeholders as well as acting as a technical policy advisor in the unit; operations review including reviewing unit operations for compliance, identifying operational strengths and weaknesses, developing training programs, and leading team in new systems and processes; and conducting programmatic training including developing and leading technical training on program policies and procedures and developing and updating procedure manuals.

This position will report directly to the OPM and will serve as a partner with the OPM and Associate Director (AD) in running the operations programs of the ASU. This position will prepare detailed analyses of operations and assist the OPM and AD in developing short- and long-term operational goals for the ASU. Decisions likely to be made in this position include evaluating, developing, and implementing departmental priorities, procedures, and workflows; identifying training needs; and determining operational strengths and weaknesses to recommend best practices and operational corrective plans. The Operations Specialist will initiate and/or propose projects and studies from set-up through completion and compile written summary reports.

Minimum Requirements

• Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR

an equivalent combination of training and experience.

• One year of postsecondary education may be substituted for up to one year of the experience.
