Position Summary

As the Catering Front Desk Specialist, your primary role is to provide customer service and clerical support for University Housing's Catering & Conference Services Office. This involves daily tasks such as entering catering orders, generating reports, and managing the front desk reception.

Your responsibilities include accurately inputting catering orders based on client communications, maintaining up-to-date information, and exercising judgment with clients to gather necessary event details. Additionally, you will assist with meeting space reservations, collect payments, coordinate with various departments, and handle waivers.

You will perform general reception duties that include answering and routing incoming calls and emails, greeting walk-in clients and vendors, and responding to client inquiries. Other office tasks include maintaining supplies, taking meeting minutes, and ensuring the upkeep of office equipment.

You will also be responsible for daily and weekly reports, printing and correlating packing lists, distributing catering orders, and maintaining a Change Log to track alterations to orders.

Overall, this position requires strong organizational and communication skills, attention to detail, and the ability to handle various responsibilities associated with catering and conference services.

The Catering and Front Desk position is a full-time, 12-month position.

Special Requirement: Have, or ability to obtain, a Lane County Food Handler’s Card within 2 weeks of employment.

Minimum Requirements

• Completion of courses or training in Office Technology; OR

• One year of general clerical experience which included typing, word processing, or other generation of documents; OR

• An equivalent combination of training and experience.

• Ability to work effectively independently as well as with a team.

• Ability to manage multiple priorities, solve problems, and stay organized with keen attention to detail.

• Strong customer service skills and ability to communicate effectively with individuals from diverse backgrounds and cultures.

• Ability to understand and follow guidelines, policies, and procedures.

• Skilled in Microsoft Office, Word, Excel, PowerPoint, and Outlook.

Preferred Qualifications

• Experience working in higher education.

• Experience with catering and hospitality-related software.

• Experience working in catering and/or the hospitality industry.
