Job Summary and Qualifications

  1. Maintain current knowledge of Virginia Rules and Regulations pertaining to the processing of Vital Records and Declarations of Paternity.

  2. Process all birth certificates on a daily basis ensuring accurate and valid information, also to include obtaining parent signatures for social security data if requested.

  3. Responsible for obtaining physician signatures on birth certificates, processing and mailing to state weekly.

  4. Process, explain and notarize all declaration of paternity forms according to specifications as requested by parents and file with the state weekly.

  5. Complete all data for death reports on a weekly basis and file with the county and state monthly.

  6. Process all fetal death reports daily. Obtain physician signatures and file with county and state monthly.

  7. Maintain daily spreadsheet with all delivery info to process the month end statistics for the Department of Obstetrics meeting.

  8. Responsible for reporting all eligible codes and patient data to Virginia Congenital Anomalies Reporting System weekly.

  9. Enter all data in HIPA (including birth certificates, death reports, fetal death reports, and Virginia Cares info) as each of these are processed.

  10. Responsible for filing newborn birth certificate worksheets and all hospital death/body release forms in patient chart.

Handle all patient requests regarding vital statistics

What qualifications you will need:

  • Medical terminology required.

  • Prior experience with vital statistics in an acute care facility preferred.

  • Notary public required. May obtain Notary within 60 days of hire.
