The Payroll Administrator flawlessly manages all aspects of the weekly, completely in-house, payroll processes for 350 plus employees and maintains payroll data integrity for the organization. The Payroll Administrator is responsible for payroll records retention and payroll requirements pertaining to Federal and State labor laws and Davis Bacon and OFCCP prevailing wages compliance and reporting. The Payroll Administrator is also responsible for maintaining the Viewpoint payroll entries pertaining to direct deposits, time-off balances, wage garnishments, voluntary benefit deductions and UI rates.

TOTAL COMPENSATION

$27.40 to $50.14 per hour

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Gather, review, enter, and import employee times from B2W, VP Portal, and field timesheets into the Viewpoint payroll system to initiate payroll cycle.

  • Reviews payroll documentation for accuracy and makes necessary adjustments.

  • Determines payroll liabilities by calculating employee’s federal and state income and social security taxes, and employer's social security, unemployment, and workers compensation payments.

  • Balances payroll accounts by identifying and resolving payroll discrepancies.

  • Uploads direct deposit files or prints payroll checks for mailing.

  • Communicates directly with the Human Resource Department to ensure data integrity including new hires, terminations, transfers and rate changes.

  • Update payroll module as necessary including LCP tracker and prevailing wages systems.

  • Processes off-cycle payroll checks as required to comply with state wage laws, annual discretionary bonuses, and year-end payroll adjustment.

  • Processes, researches and resolves payroll questions from employees related to timecard adjustments, vacation, and PTO leave.

  • Manage payroll issues related to banking, garnishments, employment verifications, workers compensation payments, retroactive pay calculations, tax questions, and other request that affect payroll operations.

  • Process weekly Federal and State tax payments.

  • Process all quarterly tax reporting including, but not limited to, 941, SUTA.

  • Process all year-end tax reporting including W2, W3 preparation and distribution.

  • Assist in other accounting department projects and duties as assigned.

QUALIFICATIONS

Required:

  • Strong attention to detail and organizational skills, with an obsession with accuracy, and thorough knowledge of payroll processes, deductions, and cafeteria plan benefits.

  • Highly analytical mind and strong data management and technical skills with the ability to successfully deal with financial and numerical data.

  • Superior communication skills, including the ability to comprehend and inform others on information relevant to payroll needs.

  • Solutions-oriented mindset, including the ability to trouble-shoot and problem-solve in demanding and stressful situations.

  • Perfectionist by nature with the innate ability to flawlessly execute tasks and responsibilities.

  • Experience handling certified and prevailing wage payroll processes.

  • Outstanding work habits and professional ethics to meet payroll deadlines and handle confidential payroll information with discretion and professionalism.

  • High EQ and significant ability to work well under stressful, high-pressure situations.

  • Must be skilled in the use of Excel Spreadsheets and Word to handle the administrative needs and reporting of the department.

  • Excellent customer service skills.

  • Associate degree with a minimum of 2 years verifiable payroll or accounting experience.

Preferred:

  • 4 Year degree or CPP/APA certification with practical knowledge of payroll principles and certified wages processes in the construction industry. Knowledge of Viewpoint software or equivalent systems is highly desirable.

PHYSICAL DEMANDS

Ability to sit, stand, or walk for extended periods of time, including uneven terrain on work sites when needed. Ability to bend, kneel, crouch, reach, twist, list, carry, push, and/or pull 25 lbs occasionally for filing and storage access, etc. Ability to maneuver paperwork and use a computer screen for extended durations.

WORK ENVIRONMENT:

Primarily office-based work with varying temperatures and extended screen time.
