The Office Manager will manage first-response and resolution of all Site Services related topics within designated Facility. This role will manage all Site Services Staff/Contracted Services at Columbus, Ohio facility. The incumbent acts as a liaison between local service providers and corporate Center of Excellence (COEs) for site services. This position also serves as the administrative assistant to the Site head and provide support to the local Leadership Team. The incumbent is a member of the local Leadership team and Crisis Management team.

Duties & Responsibilities

  • Plans and coordinates internal and external organizational events to include: Townhalls, Visitor Events, Management Retreats, and others as requested.

  • Performs administrative tasks such as calendar and office supply management.

  • Coordinates travel arrangements and expense reporting, as well as scheduling meetings to assure timely and effective communication.

Facility Management:

  • Arranges for and facilitate with Contracted Facility Manager building repairs and equipment maintenance as needed.

  • Monitors and ensures correct and timely completion of tasks.

  • Monitors contracted house cleaning staff and service, external suppliers and contractors ensuring adherence to service level agreements. Services include landscaping, snow removal, smoke alarms, fire extinguishers, pest control, refuse and recycling removal.

  • Manages utilities payments.

  • Responsible for work order sign-off and Real Estate documentation

  • Manages shipping/receiving, mail / package distribution.

Security:

  • Arranges for and facilitates all building security services which would include access control, burglar and fire alarm services, cameras, guard post orders.

Information Technology:

  • Serves as First Point of Contact for IT Services (phones, a/v maintenance, networking, copiers, etc.).

Requirements

  • Bachelors' degree.

OR

  • In lieu of a degree, minimum of five (5) years progressively responsible business experience.

  • High level of demonstrated trust, confidentiality and dealing with sensitive information.

  • Well organized, strong, results focused individual with ability to work independently or within a team in a fast-paced changing environment supporting multiple individuals.

  • Two to four (2-4) years leadership experience preferred.

  • Operates effectively in a matrixed organization with multiple reporting relationships.

  • High level of proficiency in the use of Microsoft Office products.

  • Experience with project management and software are desired.

  • Excellent communication skills, both oral and written, with experience and ability to interface with all levels of the organization including the executive leadership team.

  • Ability to maintain a high level of professionalism and work with internal and external contacts.

Eligibility Requirements :

  • Must be legally authorized to work in the United States without restriction.

  • Must be willing to take a drug test and post-offer physical (if required).

  • Must be 18 years of age or older.
