Associate Director to the Chief of Staff (Confidential Executive Associate)

POSITION DETAILS

The Associate Director will support the President’s Chief of Staff with a variety of initiatives, projects, and management of the President’s Office. The position requires a high level of judgement, expertise, and discretion in dealing with highly confidential and sensitive matters. The Associate Director will work closely with the Chief of Staff and the executive team to provide high level support. He/she will also work with the Chief of Staff to drive strategic initiatives and to coordinate all matters for the President. Duties include but are not limited to the following:

· Provides day-to-day supervision of the Office of the President, including , but not limited to the supervision of all mid-level and clerical staff.

· Monitors workflow of the office and coordinates all project work; fosters teamwork, collaboration and work ethic in order to successfully achieve operational objectives.

· Manages a variety of projects and initiatives.

· Manages high-level projects initiated by the President's and/or the President’s Chief of Staff.

· Manages the budget for the Office of the President.

· Moderates campus-wide events on behalf of the President.

· Works with campus units or executives, student groups, and outside organizations to develop event concepts, plan detailed programs, and orchestrate successful logistical arrangements to enhance program success.

· Prepares event briefing documents for key executives and media relations personnel; reports to senior management on the success of events including financial outcomes.

· Handles time sensitive and high priority items for the President and the President’s Chief of Staff.

· Stands in for and serves on behalf of the President’s Chief of Staff as needed.

· Additional duties assigned by the President and/or the President’s Chief of Staff as needed.

· Essential duties require in-person work.

QUALIFICATIONS

Bachelor's degree and six years' related experience required.

Preferred Qualifications:

  • At least 4 years working in higher education or executive environment

  • Excellent communication (oral and written), interpersonal, analytical and organizational skills

  • High level of diplomacy and tact

  • Exceptional attention to detail with the ability to work under pressure

  • Experience working in a fast paced environment

  • Proficiency in Microsoft Suite (including Outlook, Word, Excel, PowerPoint, and Teams) andd videoconferencing applications (such as Zoom)

  • Availability to work evening and weekend hours when required

CUNY TITLE OVERVIEW

Supports a Campus or University Executive as a confidential assistant in a variety of activities and initiatives as a key team member.

  • Organizes and manages projects involving different areas of the Campus or University community, with responsibility for project outcomes

  • Represents the Executive's unit in Campus or University-wide activities, including committees, special initiatives, and implementation of new processes or technology

  • Independently carries out a portfolio of responsibilities under the Executive's purview, such as approvals, student interactions, and monitoring of key activities

  • Manages communications within and outside the unit related to areas of responsibility

  • May serve as Manager of a large Executive Office

  • Performs related duties as assigned.

This position is excluded from union representation.

COMPENSATION AND BENEFITS

$67,784 - $73,227; Salary commensurate with education and experience.
