Purpose of Position:

This Vocational Rehabilitation Assistant plays a critical role as a member of the vocational rehabilitation team by performing office/administrative and paraprofessional duties, establishing relationships with customers, and assisting with their needs, and supporting agency field personnel and management staff to fulfill the mission of the agency, as needed. Caseloads may include a general caseload, school-based caseload, and/or corrections caseload. This is a full-time position with CURRENT openings in the Treasure Valley.

Counseling Team Support:

  • Establish relationships with customers; schedule and coordinate services for them.

  • Communicate Vocational Rehabilitation's mission and function to potential customers and discuss eligibility requirements.

  • Coordinate and route confidential medical records upon receipt in a timely and accurate manner while ensuring compliance with all laws, regulations, policies, etc. regarding confidentiality of personal health and identifying information.

  • Conduct and document interviews with applicants for services to assist in determining eligibility.

  • Attend and participate in team meetings with assigned counselors and assist with caseload management activities.

  • Attend onsite school meetings as part of the vocational rehabilitation team to facilitate and explain available services.

  • Attend school-based IEP meetings to introduce and recommend VR services.

  • Coordinate services to students at community-based events.

  • Inform vendors (e.g., community resource providers, employers, etc.) and correct invoices as necessary to ensure that requested services are consistent with customer service plan and referral.

  • Act as a resource to businesses by communicating with and educating employers about employment of individuals with disabilities to meet employer needs and provides quality supports based on identified needs.

  • Engage in telephone/electronic contact and/or onsite visits with employers to inquire about and/or follow-up on job openings and placements for customers while monitoring customer progress in job placements and throughout the rehabilitation process.

    Office/Administrative Support:

  • Ensure customer service by displaying professionalism in all internal and external agency interactions.

  • Provide office support to include composing correspondence, creating, reviewing, and processing documents, generating reports, and maintaining records.

  • Greet visitors and direct them to the appropriate staff or take their calls and provide whatever assistance is appropriate.

  • Receive, sort, open and route mail, faxes, and emails received via Secure Share.

  • Provide routine information to applicants and customers concerning procedures, rules, and regulations of the agency.

  • Using case management software, create and manage authorizations for services and enter payments.

  • Label scanned documents and file electronically in case management software in an accurate and timely manner.

  • Ensure that internal controls are adhered to by reviewing all documentation entered in electronic case record for compliance with agency policies, procedures, and guidance.

  • Schedule and coordinate meetings as required and perform basic office management duties.

  • Performs related duties, as assigned.

    Experience:

  • Interacting with people in a customer service role; and

  • Interpreting and explaining complex information; and

  • Coordinating complex activities requiring multiple tasks and a variety of assignments.

    Minimum Qualifications :

  • Demonstrated experience interacting with people in a customer service role; and

  • Working knowledge of office equipment such as printers and scanners typically gained through work experience using this equipment.

  • Working knowledge of an email application (including sending, forwarding, attaching, and calendar functions) and word processor software, as well as familiarity with the use of a search engine (e.g., Google, Microsoft Edge, etc.) typically gained by at least one year of experience using these applications on a regular and frequent basis.

  • Ability and willingness to travel (which may include overnight travel) to provide service to customers, and for training, meetings and conferences, as needed.

  • Typing/keyboarding at the rate of 40 net wpm.
