Primary Function:
Provides general office support with a variety of clerical activities and related tasks as well as assists in building maintenance. This position will be responsible for professionally greeting customers and vendors, directing visitors to appropriate associates, assisting with mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties. They will also play a key role in maintaining the overall cleanliness and functionality of our building to ensure smooth operations.

Greet and welcome guests as soon as they arrive at the office
Direct visitors to the appropriate person and office
Ensure the reception area is tidy and presentable, with all necessary stationery and materials
Provide basic and accurate information in-person and via Zoom/email
Receive, sort, and distribute daily mail/deliveries
Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
Maintain office security by following safety procedures and controlling access via the reception desk
Assist in the ordering, receiving, stocking, and distribution of office supplies
Assist the finance department with data entry
Assist with other related clerical duties such as mailing, photocopying, faxing, filing, and collating
Manage building supplies, (paper, printer ink, etc) and inventory
Work with the Director to stay informed of all ongoing building projects
Work with vendors to schedule and oversee maintenance and repairs and provide regular updates to the Director as needed.
Address minor cleaning and maintenance tasks, such as replenishing supplies, restocking the mailroom and kitchen, and wiping down surfaces.
Assist the Director of Special Projects on any building-related events and trainings and prepare areas for them.
Conduct regular inspections of the building to identify and report any maintenance issues.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle, or feel; and reach with hands and arms. Position Type/Expected Hours of Work
This is a full-time in-person position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. Must be onsite in Bloomington, IN. Occasional evening and weekend work and travel are required as job duties demand.

Required Education and Experience
Associate's degree and two years of related experience preferred.
