Johns Hopkins University CO Administrative Coordinator in Baltimore, Maryland

We are seeking an CO Administrative Coordinator who will provide high-level administrative, clerical, operations, and coordination of patient care in a fast-paced environment. The person must be extremely proactive, energetic, adaptable, and reliable. The ability to remain agile to changes real-time is a must. In addition, the candidate must be an effective communicator and be able to anticipate the needs of the team members they support. The person should require minimal supervision with the day-to-day handling of tasks and will report directly to the Supervisor of Gynecologic Specialties.

Specific Duties & Responsibilities

Clinical Program Planning & Management:

  • Responsible for communicating all critical EPIC updates to Faculty.

  • Clinical Administrator liaison for Johns Hopkins Woman’s Health Group. Schedules appointments for providers in the Bartlett clinic and outside community clinics.

  • Serves as a liaison to health care agencies, fellowship organizations, and insurance companies in a manner consistent with the University's policies and goals.

  • Reviews and reports patient satisfaction to leadership.

  • Addresses patient complaints and ensures prompt resolution of their concerns.

  • Assist quality improvement for programs in Gyn Specialties.

Administration

  • Liaison for patients issues and refers to appropriate channels for resolution as necessary.

  • Completes all high-level administrative correspondence.

  • Trains new office staff in all duties in the administrative office.

  • Responsible for submission and processing of invoices, processing reimbursements, submitting shopping carts, payment of consultants, vendors, and independent contractors, purchase orders.

  • Coordinates meeting for designated faculty, including the Vice Chair of Quality and Safety.

  • Manage conflict-free daily calendars for designated faculty.

  • Completes FMLA and disability forms.

  • Plan, coordinate, attend, and capture meeting minutes and follow-up actions for designated faculty.

  • Assist in the development of new administrative policies and procedures as needed to ensure smooth operation of the Division.

  • Manages and monitors HOCO templates. Also assist with referrals and urgent appointments for HOCO.

  • Reconciles grant budgets.

  • Orders all supplies needed for the GYN Division, MIGS, Colemans research team and Bartlett clinic.

Climate Setting & Leadership

  • To conduct self in an exemplary fashion to achieve goals and set example for others within the division.

  • To establish communication channels with staff and faculty to ensure that they receive information on internal and external issues which effect the operations of the assigned areas, as well as provide advice, assistance, and service that aids them in attaining related objectives; and to be a source of information to senior leadership and other external and internal personnel.

Minimum Qualifications

  • High School Diploma or graduation equivalent.

  • Three years related experience.

  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

  • Excellent organizational and administrative skills with strong attention to detail and timeliness.

  • Ability to develop routines to manage workloads and organize work efficiently.

  • Readiness to interact with a variety of people and assume diverse duties and tasks.

  • Desire to work closely with others as part of a dynamic and dedicated team.

  • Knowledge of administrative processes and approaches and financial knowledge.

Starting Salary Range: $18.00 - $33.50 HRLY ($45,000 targeted; Commensurate with experience)
