Job Description

Responsibilities

Responsibilities: Use mail, email, Form Simplicity, and e-signature to prepare, distribute, and monitor for completion listings, offers and addenda for Real Estate Sales Executives. Assist Realtors with meeting contractual deadlines to include, but not limited to, receive and communicate receipt of Escrow Deposits, prepare, send, and track Condominium and Homeowner’s Association documents and receipts, assist with scheduling, and monitor deadlines for inspections and surveys, and all other contract deadlines. Communicate timely with Operations and Training Manager, Assistant Director, and/or Broker any issues with contract deadlines or obtaining information for contracts. Oversee preparation for closings to include ensuring closing attorney has documentation, reviewing settlement statements for accuracies, ensuring accuracy of file, and coordinating the closing. Assist assigned agents with showing software, showing feedback, online reports for listings as needed. Communicate accurately all changes in Listings and Sales AIPRE Group and internal and external customers using standard email templates and forms for New Listings, Under Contracts, Closed Sales, and changes in Listing and Contract Prices as needed. Keep all listings, pending contracts, and closed sales for assigned agents up to date in MLS and NEF MLS. Ensure listing information is updated with new COA/HOA monthly fees and special assessment information along with a new seller’s disclosure annually, or more frequently as needed. Assist assigned agents with obtaining lockbox, ensure documentation and registration in MLS, and print reports as requested. Assist in providing information for Appraisals for properties under contract for real estate agents. Assist with keeping new listings, pending contracts, and closed sales up-to-date on marketing materials. Assist with preparing and gathering materials needed for Listing Appointments. Assist Operations and Training Manager with completing systems training for Sales and Listings Coordinators, as needed. Assist with deliveries and pick-ups of information to the Hotel, Closing Attorney's offices, etc. as needed. Assist other coordinators by covering their areas and assisting their agents when out of the office. Provide front desk coverage to include, but not limited to performing the opening and closing duties, as needed. Assist with the distribution of surveys, including online reviews, and the collection and distribution of results. Answer Real Estate front desk phone on weekends promptly within 3 rings. Greet customers, determine customers' needs, and provide a professional and appropriate response. Providing a warm, inviting first impression for all customers in the Real Estate Lobby to include greeting customers, determining customers' needs, providing professional and appropriate response, and ensuring Real Estate 5 Diamond Standards are met. Organize and complete mass email and print mailing campaigns under the supervision of the Director of Real Estate and the Real Estate Marketing Manager. Oversees coordinators in office and ensures productivity and efficiency is being maintained in all the above areas. Maintain accuracy of Listings and Sales workflow by completing weekly data checks and communicating any areas that need additional attention. Oversee all Sales and Listing Coordinator’s calendars for missed deadlines, and follow-up to ensure accuracy and efficiency.

Qualifications

Qualifications: Previous experience at Amelia Island Resort and real estate industry is preferred. Real Estate Sales Associate experience is preferred. Excellent administrative skills needed. Customer oriented with a sincere, helpful, caring, and friendly personality. Highly motivated and proactive in nature. Ability to accurately and efficiently prepare and process confidential materials. Ability to clearly and pleasantly communicate both verbally and in writing in English with guests, management, and co-workers, both in person and by telephone. Ability to work cohesively with co-workers both within and outside of your department, sales executives, and business partners. Ability to work well under pressure, thinking clearly, dealing with many customer and Realtor requests/questions within a short period of time. Strong organizational skills with the ability to prioritize and multi-task in a fast-paced environment. Ability to prioritize and organize workload to ensure deadlines are met. Able to evaluate and select among alternative courses of action quickly and accurately, identifying and solving problems as necessary. Ability to be dependable and consistent in work habits. Ability to handle stressful situations, while maintaining a calm and welcoming demeanor. Proficiency with Office applications, and aptitude for learning new software and systems. Position requires the ability to sit and engage in repetitive motion, including utilizing telephone/computer for extended periods of time or for an entire shift and occasionally push, pull, or lift 25 to 40 lbs. Must be able to work weekends as scheduled.
