Job Description

Agency Administrator

Assist in the planning and coordinating supportive service for the Agency Department, such as creating & processing general records, ordering of promotional items, creating and maintaining Funeral Home Pre-Need information, annual event planning and budgeting.

Responsibilities:

Answer phone, take messages, forward calls and distribute announcements via email

File and maintain confidential records

Create and maintain memos, notices, fliers, brochures, recruiting ads, and agency forms for distribution

Online ordering, shipping & inventory of promotional items, name badges, business cards, pins, client applications, envelopes, brochures, and annual company calendars for employees / Agents

Process condolence notifications and order family floral arrangements

Report Company Board Call on Tuesdays and Fridays via email & AS400 (iSeries) System Distribute Customer Web Submission Inquiries via email

Edit, produce and distribute monthly Kilpatrick Lifeline Magazine

Process, track and distribute manager-s report summary

Code & scan invoices, monthly Agency reports and statements via Paper Vision software. Create and maintain Pre-Need price lists, labels, worksheets and power point presentations Maintain budget records, process check incentive request, manage cash box & make deposits Process, calculate & report managers monthly travel expenses

Reconcile credit card statements

Maintain tracking of contest spreadsheets and request funds for offices

Coordinate/plan company hosted functions to include: Annual Banquet, company sponsored picnics, quarterly manager training, training events/seminars

Knowledge:

Clerical - Knowledge of administrative and clerical procedures and systems such as managing files and records, designing forms, and other office procedures and terminology.

Customer and Personal Service - Knowledge of principles and processes for providing customers and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

English Language - Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

Skills / Competencies:

Proficient in Microsoft Suite (Word, Excel, Power-Point, Publisher & Outlook) knowledge of AS400 Data Processing, InDesign CS5 (or newer) and Adobe Photoshop is a plus.

Able to work effectively and efficiently in a team environment with minimal supervision. Multitask and assist with a variety of projects and handle impromptu assignments

Must possess excellent written and verbal communication & proof reading skills

Education and Training:

At least 2+ years Administrative Office experience

High School Diploma or Equivalent
