Executive Assistant

Responsibilities

  • Support the CEO with day-to-day business operations

  • Extensive calendar management (protecting and prioritizing the CEO's time, knowing what items are urgent and what must wait)

  • Create and coordinate complex itineraries

  • Event coordination for onsite and offsite meetings (venue, catering, room setup, invites, preparing and distributing materials)

  • Draft and edit daily and meeting agendas

  • Prepare documents and materials for meetings

  • Serve as temporary Board Secretary for the Board of Trustees (ensure meetings are on schedule, take minutes, draft and get approval of meeting notes, upload to intranet)

  • Partner closely with other C-level executives to drive business goals and ensure deadlines are met

  • Provide daily reminders and updates to CEO of their agenda and assist with last minute arrangements

Skills

  • 5+ years of experience supporting C-Suite Level Executives

  • Experience supporting a Board of Directors and/or Board of Trustees

  • Experience working for a nonprofit or solid understanding of nonprofit business practices preferred

  • Must have event planning and calendar management experience

  • Attentive listener who knows what questions to ask to get the job done

  • Positive attitude, approachable, and confident

  • Strong written and oral communication skills

  • Action and results-oriented with the ability to thrive even with ambiguity

  • Highly organized and able to prioritize conflicting requests

  • Communicate professionally and tactfully with all levels of the organization

  • Great respect for maintaining confidentiality and upholding business and ethical standards

  • Highly proficient in MS Office Suite

Location, Hours & Salary

  • Title: Contract Executive Assistant supporting the CEO

  • Location: Downtown Seattle, WA 98101

  • Schedule: Monday-Friday, 8:00am-5:00pm, with occasional early morning/evening events

  • Hourly Wage: $38.00-$44.00 per hour, depending upon experience

  • Position Type: Temporary Contract. Expected to run through early October 2019 (approximately 7 months).

  • Start Date: No later than March 15th, 2019. Prefer sooner, if possible.
