Responsibilities

Position Summary:

The Hospitalist Program Coordinator administers the Hospitalist program for Dominican Hospital and acts as a liaison between Dignity Health Medical Foundation Administration and the Hospitalists. The Program Coordinator demonstrates proficient administrative and organizational skills and maintains a professional and effective working relationship with the Hospitalists and Dignity Health Medical Foundation Administration. The Coordinator performs a wide variety of duties in the areas of billing, accounting, scheduling, administration, patient communication and business development.

Responsiblities may include:

  • Ensures bills are regularly picked up from the Hospitalist office and passed onto Dignity Health Medical Foundation Administration timely.

  • Tracks pending bills from physician(s) and collects them within two days of the Hospitalist physician completing their shift(s).

  • Maintains accurate shift counts and accurately reconciles every month between physicians and Dignity Health Medical Foundation Administration.

  • Processes CME dues and acts as a liaison between Dignity Health Medical Foundation Administration and Hospitalists.

  • Ensures questions or queries on paychecks or payment for participation on committees are quickly and accurately answered.

  • Ensures excess shifts are reconciled and paid for by the end of every quarter by coordinating with Dignity Health Medical Foundation Administration.

  • Assists the Medical Director in Quality Bonus Vetting.

  • Sends and manages schedule requests and assists Medical Director in finding replacements for unexpected open shifts.

  • In collaboration with the Hospitalists, creates a quarterly schedule.

  • Sends weekly calendars to all hospital floors and ER.

  • Notifies Hospitalists of shift deficiencies (if any) for the quarter.

  • Collects data for the metrics on the monthly dashboard from various sources and relays the data to the Medical Director/Quality Committee Chair.

  • Coordinates death certificate paperwork with the appropriate Hospitalist physician.

  • Updates the Hospital computers regularly on per diem coverage, Medical Director Meetings and schedules for the Hospitalist physicians.

  • Follows up on required documentation and other processes during recruitment of a new Hospitalist; communicates with the Medical Director, new recruit and DHMF Administration to ensure a successful recruitment process.

  • Maintains all contracts and other documentation between the Hospitalists and community doctors.

  • Drafts necessary letters from the Hospitalists to required physicians/departments.

  • Prepares monthly meeting agenda with input from Hospitalist Director; takes meeting minutes; forwards the minutes to the attendees in a timely manner.

  • Obtains the schedule and provides a two week alert to the physicians who are scheduled to talk at IM grand rounds.

  • Notifies physicians of delinquent notices from the Medical Records Department; coordinates with Medical Records on a weekly basis.

  • Assigns charts for audits with the assistance of the Medical Director, as necessary.

  • Sends timely DEA/medical license renewal alerts.

  • Updates Hospitalist Handbook on a regular basis per the Medical Director.

  • Communicates concerns/questions between the patient and the appropriate Hospitalist(s); involves Medical Director and DHMF Administration, as appropriate and necessary.

  • Follows up on discharged patients to ensure follow up appointments are scheduled and obtains feedback on Hospitalist care to increase HCAHPS/patient satisfaction.

  • Other duties as assigned

Qualifications

Minimum Qualifications:

  • At least four (4) years’ experience performing related duties with at least one (1) year of expereince in healthcare.

  • Associate of Arts degree or equivalent. An equivalent combination of education and experience which provides the following knowledge, skills and abilities may be considered.

  • Computer proficiency including MS Office Suite (Word, Excel.)

  • Ability to handle multiple, detail-oriented, time-sensitive assignments.

  • Plan and organize work to make effective use of time and ensure state-mandated deadlines are met.

  • Prepare a variety of reports using manual and computer information.

  • Maintain extensive record-keeping systems.

  • Type at a minimum of 40 words per minute.

  • Evaluate situations accurately and take appropriate and effective action.

  • Perform arithmetic calculations, reconcile reports and prepare adjustments; review bills and invoices for accuracy.

  • Prepare and type memos and correspondence, using correct spelling, grammar, punctuation and proper business format.

  • Be self-motivated and organized.

  • Communicate effectively by telephone, in person and/or writing with a wide variety of people.

  • Establish and maintain cooperative and effective working relationships.

  • Maintain the confidentiality of patient/employee information.

  • Business mathematics and statistical math skills.

  • Business office procedures, correspondence and filing systems.

  • Healthcare and medical terminology.

  • Understands the process of prior authorization and the eligibility procedures.

Preferred Qualifications:

  • At least four (4) years’ experience in healthcare in an acute care environment
