Tumor Registry Assistant

UnityPoint Health-Methodist Campus

Shift: Part-time /20-24 hrs per week Mon-Fri 8A-4:30P


The tumor registry assistant performs assigned functions accurately and in a timely manner to complete all requirements of an approved cancer program as governed by the American College of Surgeons, including timely follow-up of oncology patients, case finding, and managing registry data.

Coordinates and completes all aspects of follow-up pertaining to oncology patients as outlined by the Commission on Cancer.

  • Maintains and updates follow-up information in regards to, but not limited to, disease status, recurrence and subsequent treatment.

  • Complies with outlined confidentiality policies and procedures.

  • Identification of cases for follow-up on all long term and recent cancer patients using strategic methods including hospital database, obituaries, Bureau of Vital Statistics.

  • Acquires follow-up information through multiple strategies including the hospital database, reading obituaries, writing follow-up letters to physicians and patients, health care organizations, and Bureau of Vital Statistics offices.

  • Reviews medical records thoroughly to obtain data on the status of the cancer diagnosis and/or treatment. Reviews reports sent by HIS to assess if patients are in the registry including referring to the CTR for further review as needed.

  • Runs monthly reports to assess patients requiring follow-up data; sends out letters to physicians and patients as needed; maintains log for HIPAA compliance.

  • Maintains follow-up rates as set forth by the American College of Surgeons Commission on Cancer (COC), entering data into appropriate sections in the cancer registry software system.

Perform administrative duties to support the administrative needs of the tumor registrar.

  • Collaborates with the Cancer Registrar (CTR) to assist with duties such as auditing for case finding.

  • Assist in monthly review of cancer cases and identify cancer cases that need to be reported on.

  • Complete daily review of pathology reports.

  • Perform data entry into electronic software used to track cancer patients.

  • Demonstrates initiative to improve quality and customer service.

  • Participates as a member of the Cancer Team and achieves the organization's established expectations with regard to customer service, teamwork, safety, and self-development.

  • Other duties as assigned

Basic UPH Performance Criteria

  • Employee maintains current licenses and/or certifications required for the position.

  • Practices and reflects knowledge of HIPAA, TJC, DNV, OSHA and other federal/state regulatory agencies guiding healthcare.

  • Completes all annual education and competency requirements within the calendar year.

  • Is knowledgeable of hospital and department compliance requirements for federally funded healthcare programs (e.g. Medicare and Medicaid) regarding fraud, waste and abuse. Brings any questions or concerns regarding compliance to the immediate attention of hospital administrative staff. Takes appropriate action on concerns reported by department staff related to compliance


  • Associates degree preferred

  • Academic knowlegde of anatomy, physiology and medical terminology


  • Experience in healthcare preferred

  • Experience in oncology registry and statistics and/or an ACOS approved hospital cancer program preferred

  • Data analytics experience preferred

  • EPIC experience preferred

  • Proficient in Microsoft applications speciafically with Excel required

  • Advanced computer knowledge using word processing, spreadsheet, e-mail and web browser required


  • Certificate in Cancer Registry Management (CRM) or Center Information Management (CIM) preferred
