The Workplace Coordinator is a key member of the Facilities team. The objective of the team within Core Business Services (CBS) is to support EY Partners and staff to consolidate their vision to be market leader.
The role has the responsibility for coordinating the facilities and resources necessary to ensure efficient operations of the EY tenancy.
Coordinationof the tenancy’s reactive and preventative maintenance ensuring assets are ingood repair and operational at all times
CoverSwitchboard calls for Melbourne and Sydney during times of leave and absencefrom the Switchboard team
Manage theMaintenance Tracking One note ensuringall requests are closed in a timely manner when rectified,
Prioritizeand arrange repairs of all maintenance requests and provide timely updates tothe requestor.
Coordinateexternal contractors and ensure all work is carried out as per safe work methodstatements (SWMS) and EY OHS contractor guidelines
Manage thePreventative Maintenance schedule and activity planner by ensuring it iscurrent and scheduled maintenance is taking place
Participatein building evacuations, Office safety checklists and emergency contacts inline with EY’s WHS policy and procedures
Overseemonthly sustainability administration and assist in energy reductioninitiatives to attain and sustain EY’s NABERS commitment agreement
Sourcequotes, issue purchase orders and process invoices in accordance with EY’sagreed processes
Security andAccess passes pass administration for starters/leavers and ad hoc requests
Conductregular floor walks to check for cleaning/clutter/furniture reset/check forsupplies in meeting rooms.
Compilemonthly reports including but not limited to waste, energy consumption,maintenance requests and occupation
Reviewprocesses to ensure alignment with nationally approved processes
Review andupdate any incident/hazard requests and report issues to the Facilities Managerand workplace WHS team
Coordinateminor tenancy churn and relocations
Foster andmaintain positive working relationships with clients, external/internal serviceproviders and consultants,
Document andeffectively manage defect liability requirements related to EY tenancies
Attendweekly cleaning inspection of EY tenancies and effectively manage EYrequirements to ensure high cleaning standards are met
Support theWorkplace of The Future initiatives, including managing lockers and storage,driving behavior change
Lead directreports, encourage teaming and exceptional customer service and instigating anopen high-performance culture
Toqualify for the role you must have
Threeyears plus years’ experience in a similar role (preferably within a large tomedium professional services or corporate environment)
Relevantexperience in a service, trade and/or Building Maintenance
