What You Will Do
The Accelerator Operations and Technology (AOT) Division Office is seeking a motivated, customer-focused individual to provide high-level administrative support and to support AOT division-wide initiatives and administrative requirements. The successful candidate will report to the AOT Division Management Team, including the Division Leader, Deputy Division Leader, PSA and Chief of Staff, as well as AOT group managers. Additional responsibilities include interfacing with the ALDPS team on administrative issues. The successful candidate is likely to serve as the first point of contact for one of the AOT groups. The successful candidate will be expect to work independently with minimal supervision, establish and balance priorities, be capable of handling personnel and sensitive matters with tact and discretion, and effectively manage Division-wide programs and projects.
Specific duties include but are not limited to the following:
Use independent judgment within standard policies and procedures to manage conflicting priorities, perform complex administrative duties, manage workflow, manage complex calendars, and provide high quality administrative support
Effectively manage commitments for AOT managers to assure timely progress toward deliverables while allowing time for planning and reflection
Provide database management, conducting research and assembling data for assigned specialized reports, presentations, and/or documents, with significant responsibility for content
Compose, prepare, and edit routine and non-routine correspondence and reports; review and prioritize incoming correspondence and make decisions regarding appropriate distribution
Work as part of an administrative team focusing on AOT’s compliance with all LANL Records Management and Document Control policies and procedures as well as AOT Division policies
Plan and coordinate logistics for meetings, including preparation of materials
Provide division-wide support in the areas of Foreign National visits and assignments, domestic and foreign travel, T&L management, service as a DPR and support high quantity and high value procurements related to accelerator operations
Provide division-wide support in the assessment of AOT Division’s compliance with LANL records and document management
What You Need
Minimum Job Requirements:
Proven competence in providing high-level administrative support in a busy office environment, including interfacing with all levels of personnel.
Demonstrated experience with solving problems, developing solutions, and innovating business practices to ensure customer and sponsor satisfaction.
Demonstrated experience in effectively prioritizing tasks as well as assuming responsibility for projects and action items from inception to completion.
Demonstrated ability to effectively manage complex calendars and coordinate meetings.

Desired Skills :
Thorough knowledge and in-depth understanding of Laboratory organizational structures, operations, policies, and administrative systems.
Advanced working knowledge and experience with the following software packages and systems, including but not limited to: Microsoft Office software programs, Outlook, Oracle Time and Labor, iProcurement, Purchase Card Systems, and other procurement systems (such as RRBs), and Domestic and Foreign Travel Systems
Education: Position typically requires a minimum or five or more years’ related experience or an equivalent combination of education and experience.

The Accelerator Operations and Technology Division provides leadership in accelerator science, engineering and operations in support of National User Facilities and to solve national security challenges.
