Robert Half Executive Assistant in Irvine, California

Description We are offering a long-term contract employment opportunity for an Executive Assistant in the bustling city of Irvine, California. This role is situated in the fast-paced hospitality industry where the incumbent will be providing high-level executive support, managing calendars, and assisting in various administrative tasks. The workplace is initially in-person with a possibility of transitioning to a hybrid model in the future.

Responsibilities:

• Manage and coordinate schedules, meetings, and appointments for the General Counsel.

• Handle incoming legal requests from corporate and properties efficiently.

• Assist in managing paid time off requests for the General Counsel.

• Prepare and file expense reports for the General Counsel in a timely manner.

• Maintain a well-organized filing system for seamless retrieval of documents.

• Ensure the smooth running of daily operations by managing various administrative tasks.

• Maintain a high level of focus and efficiency in a dynamic work environment.

• Ensure prompt and accurate communication between different entities and participants.

• Proactively monitor and manage the General Counsel's calendar to avoid scheduling conflicts.

• Provide exceptional customer service while handling inquiries. Requirements • Candidate should possess high-level executive skills, with a proven ability to provide support to senior management

• Excellent calendar management skills required, including the coordination of complex executive meetings and appointments

• Experience in providing comprehensive administrative assistance in a fast-paced environment

• Proficiency in expense reporting, with the ability to compile, analyze and present data in a clear and concise manner

• Familiarity with creating and managing expense reports, ensuring accuracy and timeliness

• Strong interpersonal skills, with the ability to communicate effectively with team members, clients and external partners

• Excellent organizational and multitasking abilities, with a focus on attention to detail

• Exceptional problem-solving skills, with a proven ability to handle challenges in a proactive manner

• Ability to maintain confidentiality and handle sensitive information with discretion

• Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint

• Previous experience in the hospitality industry is preferred.
