JOB REQUIREMENTS: Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise lower-level clerical staff. We are looking for a master multi-tasker with great communication skills and an good attitude. Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements, and generally being a helpful and positive presence in the workplace. Administrative Assistant Responsibilities: Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies. Providing real-time scheduling support by booking appointments and preventing conflicts. Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations. Screening phone calls and routing callers to the appropriate party. Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research. Greet and assist visitors. Maintain polite and professional communication via phone, e-mail, and mail. Anticipate the needs of others in order to ensure their seamless and positive experience. Answer phone calls and direct calls to appropriate parties or take messages. Attend meetings to record minutes. Compile, transcribe, and distribute minutes of meetings. Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors. Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executives. File and retrieve corporate documents, records, and reports. Greet visitors and determine whether they should be given access to specific individuals. Make travel arrangements for executives. Interpret administrative and operating policies and procedures for employees. Manage and maintain executives\' schedules. Meet with individuals, special interest groups, and others on behalf of executives, committees, and boards of directors.
