The University of Colorado Denver seeks an Operations Manager for an open position within the Addiction Research and Treatment Services (ARTS) Adult Outpatient Program, with clinic locations in Denver, Aurora and Lakewood. The ARTS Adult Outpatient Program is within the School of Medicine, Department of Psychiatry. ARTS Adult Outpatient clinics provide drug and alcohol assessment, psychosocial and pharmacological treatment for adults. Programs in various clinic locations include traditional outpatient, intensive outpatient and may contain specialty services for clients referred by the criminal justice system, county departments of human services, and services for pregnant women, individuals who are HIV positive or gender responsive services.

ARTS Outpatient provides therapeutic and service coordination to clients/patients. Many patients are involved with external constituents such as Department of Correction, Problem Solving Courts, Department of Human Services and insurance agencies (private and state-funded) in order to maximize treatment benefit and outcome, and to help ensure efficient access and utilization of outside resources. This position will assist the Director of Adult Outpatient in efficiently organizing programmatic and fiscal pieces of the agency, in order to provide a high quality of service to patients and external constituents. The Operations Manager will have an integral role in providing daily oversight of the Intake Department, co-supervision of Administrative Assistants and UA Technicians and managing grants or projects from a fiscal perspective. The person in this position will make recommendations to the Director of Adult Outpatient with regard to fiscal, quality improvement and quality assurance enhancement measures.

This posting will be used to fill a position that will be housed in Denver and may travel to various clinics located in Denver, Aurora and Lakewood.

This is a supervisory position and responsible for overseeing day-to-day operations of ARTS Adult Outpatient Program (AOP) under the supervision of the Director of Adult Outpatient Services.

/Management/

Operations Manager activities may include any or all of the following:

  • Maintain the ARTS Adult Outpatient Program (AOP) Organizational structure. Is responsible for managing the hiring process, including completing paperwork and interviewing appropriate candidates for employment. Oversees new staff orientation and scheduling of skill development trainings

  • Act as the ARTS liaison to internal departments such as: fiscal, billing, HR, IT and Electronic Health Record teams

  • Oversight of the Intake Department, which may include non-clinical intake related duties

  • Budget reports (delegated to direct report)

  • Works with CU offices for routing and monitoring of grants and projects

  • Managing the physical growth of clinics. Maintains relationship with AOP property landlords

  • Tracks third-party vouchers (delegated to direct report)

  • Generating reports (retention of care, decrease of use, number of pregnant women)

  • Conducts Exit Interviews

  • Quality Improvement (Staff Morale, retention, policies and procedures)

  • Mass communications to AOP staff, generating announcements

  • Makes recommendations to the Director regarding fiscal changes

  • Quarterly employee newsletter

/Supervision/

  • Provides guidance in accordance with state regulations, and ARTS policies and procedures

  • Works in conjunction with AOP Clinical Clinic Coordinators to ensure continued proper professional development

  • Provides co-supervision to Administrative Assistants and UA Technicians. Reviews and approved timesheets, ensuring compliance with the Fair Labor Standards Act

  • Establishes expectations and provides employee performance feedback on an on-going basis through formal and informal meetings and the annual performance reviews

  • Assigns duties and responsibilities

  • Oversight of positions who are involved in fiscal reports and voucher tracking/management

  • Ensures staff are meeting all training, certification, and licensure requirements

  • Maintains current and accurate records and supervision notes as required by policy.

/Collaboration/

  • Communicates and collaborates with ARTS programs and community partners.

/Training and Certification/License/

  • Attends approved training sessions for the purpose of upgrading skills and obtaining or maintaining all required certifications and/or licenses.

/Performs other duties as assigned/

  • May include, but not limited to: data collection/reporting, etc.

Salary and Benefits:

The hiring salary for this position is$62,726 and is commensurate with skills and experience. This position is not eligible for overtime compensation.

  1. Master’s in Business or Healthcare Administration.

_Substitution:_A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.
