Cleveland Clinic Specialty-Program-Assistant-II in Cleveland, Ohio

Job Summary:

Coordinates administrative support for the Clinical Specialty Program. Represents the program in interactions with other internal departments, external organizations, and patients, referring physicians, insurance representatives and case managers. Coordination may include managing the day to day operations of patient intake, insurance verification and tracking. Responsible for coordinating the necessary documentation for the national certification process.

Responsibilities:

  • Coordinates insurance, communication and guest relations support to facilitate the patient journey for the procedure within the Clinical Specialty Program.

  • This includes patient phone calls, insurance company correspondence, collating medical documents and submitting to insurance for approval.

  • Duties also involve facilitating communications between patient, healthcare providers and insurance providers to provide additional information for denials and appeals.

  • Takes and trouble shoots calls to ensure appropriate representation of the Program requirements.

  • Coordinates and maintain data base systems to assist patients in reaching their Program goals.

  • May require working with nurses, physicians and medical assistants on a regular basis to successfully move patients to the insurance approval stage.

  • Develops improved processes for patient throughput using data base resources.

  • May consult with third party vendors to customize data base to better meet the needs of the department.

  • Works with team to organize policies and procedures needed for national accreditation and registries.

  • Runs daily reports to assist the workflow or ongoing Program needs.

  • Monitors completion of report tasks and offers education and assistance as necessary.

  • May assist with planning and coordination of special events and media stories.

  • Other duties as assigned.

Education:

  • High School Diploma or GED required.

  • An Associate's Degree in business or a related healthcare field may substitute for up to two years of experience.

  • Bachelor's Degree in healthcare, finance, business or other related field may substitute for up to three years of stated experience.

Certifications:

  • None required.

Complexity of Work:

  • Requires critical thinking skills, decisive judgment and the ability to work with minimal supervision.

  • Must be able to work in a stressful environment and take appropriate action.

Work Experience:

  • Minimum three years of experience in a hospital, medical, or other administrative setting, including appointment scheduling, public contact and role coordinating activities of medical and administrative personnel.

  • Other preferred experience may include healthcare insurance pre-authorization and coordination of multiple phases of clinical specialty programs.

  • Experience leading others preferred.

  • An Associate's Degree in business or a related healthcare field may substitute for up to two years of experience.

  • Bachelor's Degree in healthcare, finance, business or other related field may substitute for up to three years of stated experience.

  • Knowledge of computers and software programs and data entry a plus.

Physical Requirements:

  • Normal physical demands include dexterity sufficient to operate CRT/PC and other office equipment.

  • Requires the ability to sit and be stationary for prolonged periods of time.

Personal Protective Equipment:

  • Follows standard precautions using personal protective equipment as required. No patient contact.
