Job Summary

The Operations Specialist will oversee administrative support for academic operations on behalf of the College?s Department Chairs and Program Directors in CSSPP, including but not limited to, data and budget administration; oversight of adjunct faculty contracts, reviews and workload processes and procedures; management of academic support staff and student workers; support grant funded programs; support accreditation and licensure; and support of the reporting functions for the Office of the Dean. Reporting to the Director of Operations, and in support of Department Chairs and/or Program Directors, the Operations Specialist will manage and optimize the operational functions within the academic units within the College.

Essential Functions

Data Management (40%)

Develop and implement data management best practices for the Department Chairs/Program Directors within the College; Tracking of faculty status, workload, and scheduling; Manage database of adjunct teaching information (deployment, utilization, evaluations); Manage and report on enrollment statistics on majors, minors, and other key program activities and initiatives; Deliver annual based reports assisting and informing Department Chairs/Programs for regular analysis and ensuring data integrity; Manage course evaluation process; Support periodic program reviews. Budget Management (40%)

Develop, administer, and monitor department(s) budget responsibilities; Oversee timely invoice and expense management in collaboration with University?s accounting department; Manage vendor contracts on an as needed basis. Operations (20%)

Collaborate with cross-functional teams, campus partners, and key stakeholders to develop and make recommendations on seamless operational processes to support Department Chairs and Program Directors within the College; Oversee student hiring needs assessment, deployment and budgeting; Manage faculty appointment letters and faculty records; Support grant funded programs. Support accreditation and licensure responsibilities; Other duties as assigned. Qualifications

Bachelor?s degree or equivalent work experience required; Minimum of three to five years of work experience in an operations function; Prior experience in higher education academic administration preferred; Exceptional planning and organizational skills, and proven experience taking initiative and having ownership of projects; Excellent working knowledge of MS Excel (specifically, advanced formulas, pivot tables and charts); Excellent communication, analytical thinking, and problem solving abilities; Proven ability to perform duties with a high level of professionalism, flexibility; discretion, judgment, diplomacy and tact; Ability to multi-task, adapt to changing priorities, and meet deadlines; Experience with budgetary responsibilities a plus; Ability to work well with culturally diverse populations within an organization.
