JOB SUMMARY

Working under direct supervision, provides routine day-to-day business operations support to multiple lines of business in an office. Responsible for processing AP transactions such as vendor invoices and expense reports, setting up Listings and Project Budgets, Billing and Accounts Receivables, Contract Administration, Licensing, Revenue Forecasting and Transaction Processing.

ESSENTIAL DUTIES AND RESPONSIBILITIES

To coordinate all business activities for an Executive Vice President of the firm with responsibility for primarily litigation and related services.

To convert handwritten thinking into documents and reports, each with their own custom-made formats.

Handles all emails and electronic client communication, a team effort involving report research, data analysis, excel spreadsheets, mapping, sales sheets, billing, client coordination, booking travel, expense reporting, and cross checking of work product.

Part of a team culture that involves coordination with brokerage and other groups within the company.

Coordinates the timely entry and processing of standard AP transactions such as vendor invoices and expense reports. Codes and allocates expenses within appropriate system such as PeopleSoft. Researches vendor invoices and payment inquiries.

Reviews and enters standard agreements and/or transactions such as: listing, management, valuation, leasing and sales into appropriate system (e.g. PeopleSoft, MTA, VAS, I-track, etc.). Creates corresponding file(s) that is compliant with company and state requirements.

Assists other departments in obtaining necessary verifications from sales professionals on various contingencies in order to adhere to the Company's revenue recognition policies.

Prepares billing requests for non transaction items such as client marketing reimbursement and/or employee reimbursement.

Maintains property signs inventory. Orders installation and removal of all property signs for the office.

EDUCATION and EXPERIENCE

High school diploma or general education degree (GED) with a minimum of two years of related experience and/or training.

COMMUNICATION SKILLS

Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.

FINANCIAL KNOWLEDGE

Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

REASONING ABILITY

Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.

OTHER SKILLS and ABILITIES

Intermediate skills with Microsoft Office Suite products such as Word, Excel, Outlook, etc.

Knowledge of Financial software systems (e.g. PeopleSoft, MTA, VAS and I-Track).
